Secure sample assurance letter in Ghana Education Service easily

A sample assurance letter is provided by a district or a school (in the case of senior high schools). The letter indicates a vacancy in the school or the district. The sample assurance letter reserves a vacancy for the applicant.

Previously, an assurance letter from a senior high school (SHS) is valid enough. However, the Ghana Education Service has introduced a new reform. That is, the district must add an assurance letter to the one issued by the school. Therefore, the district must issue an additional assurance letter to the one issued by the school. The assurance letter issued by the school is only a precondition for the one to be issued by the district.

A teacher seeking transfer to another school or district must first obtain the assurance letter. The teacher must apply for an assurance letter from the new school or district. The new school or district must be satisfied with the documentation of the applicant before the sample assurance letter is issued to him or her.

Why sample assurance letter is needed

The sample assurance letter is needed for a smooth transfer process. This is because your existing district needs to be sure there is a vacancy in the district or school where you wish to go.

The teacher will be inconvenienced if he or she is released but gets rejected at the new station. Additionally, the teacher will be underutilized if he or she is accepted at a station there is no vacancy. Finally, a teacher being underutilized will lead to a loss of national resources.

The sample assurance letter is primarily to match teachers and schools proportionately. Matching teachers and schools will prevent teachers from being overcrowded in certain schools or geographical areas.

Documents needed

The new districts need certain documents for the request to be successful. All documents must be in duplicates. The documents needed are 1. The application letter itself 2. First appointment letter 3. Current payslip 4. Certificates 5. Last promotion letter 6. Personal records form 7. Two passport-size pictures 8. Confidential letter from your immediate supervisor

New requirement

The Ghana Education Service introduced a confidential report as the latest requirement needed to acquire a sample assurance letter. GES has introduced the confidential report for two main reasons. 1. To determine the overall persona of the applicant. 2. To prevent applicants from initiating the process of transfer without the knowledge of their supervisors. The supervisors will be unable to make provisions to replace a teacher if he or she is could not make prior arrangements.

However, Supervisors are using confidential reports to create trouble at various stations. This is because some supervisors are using the confidential report to sabotage their subordinates.

GES release and Transfers: documents needed. Apply

Application is invited from teachers who wish to apply for release and assurance from one Region/metropolitan/municipal/district to the other. Management of the Ghana Education Service has officially opened a Release and transfer window to allow in-service Teachers who wish to move from their current station to new ones to do so.

This exercise officially commenced on Monday 24th of May 2021. Before a teacher can apply for release (this means moving from one district to the other), the teacher needs an assurance letter from the new district the teacher wish to go to.

How to Apply for an Assurance Letter Write a letter to the District directors of Education you wish to be Release to.

DOCUMENTS NEEDED TO APPLY FOR ASSURANCE INCLUDE;

• Application for assurance letter
• Certificates (professional and academic)
• Promotion letter 4.personal record form duly endorsed by the Applicants Director.
• Confidential report from the Applicants headmaster
• Current payslip

When the teacher now get assurance letter from the new district he or she wants to go then the teacher can go ahead to apply for release from the current district.

DOCUMENTS FOR GES RELEASE AND TRANSFERS INCLUDE;

• Application for release letter
• Assurance for release from the district where Applicants wish to go
• Release form (to be supplied by office)
• Personal record form (to be supplied by office)

Some district in the Volta Region has set the deadline for Application of release to and from their district. A letter signed by the Human Resource manager of the Hohoe Municipal Dr. Solomon Amankwa and sighted by educegh.com stated that the deadline for the Application of release and assurance to the Hohoe Municipality is Friday 28th, May 2021.

The Ghana Education Service (GES) wishes to inform every prospective teachers and the public at large that the various District Directorates have started collecting applications from teachers who want to seek assurance into the various districts for the 2023/2024 Academic Year Transfers.

Documents Needed For The Process

The following documents must be presented by all applicants in order to be taken into account:

Application Letters

Personal record form

Current Payslip

Clearance from Banks

Assurance Letters

Photocopies of all Certificates and Confidential Reports from their Metro/Municipal/District Director

Personal record form : which has been signed by the Head of Human Resource Unit and has a photo of the applicant’s passport attached to it.

Assurance Letters: A district can send a letter to the Ghana Education Service telling an applicant that there are jobs or postings available in the district. This letter is given to the applicant to give to his or her present district to let them know that he or she will be leaving.

The steps to getting an assurance letter If a teacher wants to move to a different school district, they must first apply to the district they want to move to. How to get an Assurance Letter for Transfers in the GES

Reposting allowance.

To apply for the reposting allowance, staff must submit the following documents:

• Application letter (2 copies)
• Reposting letter (2 copies)
• Payslip of the month of reposting (2 copies)
• File one (1) set and attach one (1) set to the signed list for the regional office.

Car/Motor Maintenance Allowance

To apply for the car/motor maintenance allowance, staff must submit the following documents:

• GES headquarters covering letter (2 copies)
• Ministry of Finance letter (2 copies)
• Form C of car (2 copies)
• Insurance certificate of the year in question (2 copies)
• Roadworthy certificate of the year in question (2 copies)
• Current payslip (2 copies)

Bicycle Maintenance Allowance

To apply for the bicycle maintenance allowance, staff must submit the following documents:

Drivers Overtime Allowance

To apply for the drivers’ overtime allowance, staff must submit the following documents:

• Appointment letter (2 copies)
• Conversion letter (if conversion has taken place) (2 copies)

Tools Allowance

To apply for the tools allowance, staff must submit the following documents:

• All documents should be arranged in the order in which they appear on the sheet.
• All effective dates should be checked in calculating the due amounts for beneficiaries.

The Ghana Education Service has open applications for promotion into the service and teachers (Teaching and Non-teaching staff)  who want or are due for promotion are expected to submit their applications in writing to the District, Municipal/Regional offices of the G.E.S.

Guide on Writing a letter of request for GES Promotion.

When writing a letter of request for promotion, it is important to be very clear as to what position you are applying for. For example, if you’re a teacher placed under SUP II, and now looking forward to promotion into SUP I, Mention it in the letter.

You can choose to immediately state the position/rank you are applying for from the letter Heading or wait and state them from the body.

Also, make sure the letter is short and does not exceed on-page. This will help catch the attention of whoever is going to read.
