  • Music in a PPT helps your audience to be relaxed, at the same time making them alert and engaged

Types of slides in a presentation

PowerPoint presentation slides are broadly classified into 3 categories: Text, Visual, and Mixed slides.

1. Text slides

As the name suggests, this category of slides involve words or texts.

You can format the text as plain sentences or pointers.

You may even arrange them all in a single slide or one line per slide.

The slide seen below is an example where every point is mentioned in a single slide.

2. Visual slides

This type of slide has visual elements such as images or videos , and are better known as conceptual slides since they are a better option than text slide to explain a particular concept.

You can use them at the start of the presentation to better visualize and grasp the meaning of the presentation.

3. Mixed slides

Mixed slides combine the texts and visuals to give a comprehensive understanding of any concept or a speech.

Graphs and charts are the best examples of mixed slides.

Mixed slides have an advantage over the other slides; they keep your audience engaged, listening and participating more actively!

Types of Oral presentations

So far we came across 6 types of presentations, and they all share one common feature. They are all one of the types of oral presentations.

Oral presentations involve the use of verbal and non-verbal elements to deliver a speech to a particular or general audience.

All the types we discussed fall into these 4 broad categories:

1. Extemporaneous presentations

This type of presentation involves making short pointers or key phrases to aid while speaking.

You do not memorize, but organize the points and structure the speech way in advance.

Hence, on the day of your presentation, by just looking at the key points , you expand on them and move to the next point.

2. Impromptu presentations

Impromptu presentations are spoken without any preparation . It can be nerve-wracking for many, and hence not many are in favor of it.

There is a valid reason for their fear, as you have to make your speech as you say it!

However, those who are experts in their fields and are called upon to share a few words can easily give this type of presentation.

3. Manuscript presentations

The other extreme of the spectrum is manuscript presentations.

Here you have a script and you speak from it, word by word.

News anchors and show announcers usually engage in this type, since there are a lot of specific details that cannot be said wrong, and also, time constraints.

Usually, a prompter is used, from which the speaker speaks to their audience.

Nowadays, there are teleprompters , that are heavily used in the entertainment and media industry.

It is a digital screen that displays the contents, and the speaker speaks from it.

4. Memorized presentations

This type does not have any notes or cues , but you memorize or rote learn the whole speech.

School and some presentations at the workplace involve using this kind of presentation.

But, if you do choose it for whatever reason, since you are free from notes, you are free to focus on other aspects, such as body language and gestures.

Types of presentation styles

There are various presenting styles, but they do not work for all types of presentations.

Let us get familiar with them, and know which style works with which type.

a) The storyteller

There's a reason why we all love to hear stories!

This style of presentation involves the speaker narrating stories and engaging the audience emotionally .

This technique works best with persuasive and inspirational types of presentation.

So, how to tell a story in a presentation?

  • Understand and know your audience : Knowing your audience will help you with how you will frame your story, at the same time gauging the relevance of your narrative
  • Know your message : Be clear with what you want to convey through your story or how you are connecting the story with your actual presentation
  • Try narrative a real-life story : Inspiring presenters often take their own stories or the stories of people whom they know as a supplement to their presentation. When the audience listens to your real-life examples, they become genuinely interested in your story
  • Add visual aids : Using visual aids such as pictures, videos, multimedia, etc., increases the memory retention and engagement of your audience
  • Use the “you” attitude : Tell the story keeping your audience in mind because ultimately they are going to be the receivers and hence, the story should be relevant and should include their point of view as well

b) The Visual style

Make use of the visual aids to keep your audience engaged.

Most of us are visual learners, making visual information easy to understand and retain.

Visual aids like graphics, images, diagrams, key pointers or phrases , etc., are very useful when giving any type of presentation.

Some tips of presenting with visual style:

  • Include only important pointers in your PowerPoint presentation and highlight or bold them
  • Try including visuals that complement what you are saying and use them as a supplementary tool to aid in understanding your audience
  • If you are giving a business presentation and want to include visuals, instead of plain texts, include graphics and charts to make information simpler to present and understand
  • Avoid overly complex visuals as it will confuse the audience more
  • Avoid using more than 6 lines per slide

c) Analytic style

Provide examples to support your data findings!

If you have data records or statistical information to be presented, an analytic style will be more helpful.

It works best for Informative and Business types of presentations.

Tips to deliver in analytic style:

  • Give handouts so that the audience is on track with your presentation and the information will be easier to comprehend
  • Focus and speak on selected data as too much data statistics can be overwhelming for the audience
  • You can make use of humor and personal anecdotes to keep the presentation interesting and engaging
  • If you have too much data and are worried that you will not be able to explain it in the time frame given, avoid writing content of more than 2000 words

d) The Connector

Make an impactful presentation by simply connecting with your audience!

The connector style of presentation involves the speaker establishing a connection with the audience by pointing out similarities between them and the listeners.

This style works well with Sales and marketing presentations.

How to give a presentation using connector style?

  • Have a Q & A round with the audience at the end of your presentation for clarifying any doubts and avoiding miscommunication
  • Use audience polls at the start of your presentation to know your audience and tailor your speech accordingly

  • Ask questions to your audience at regular intervals for a better audience engagement
  • Make use of multimedia sources to keep your audience engaged and entertained

Which type of presentation is best?

Although all the presentation types have their own bonuses and are suitable for certain circumstances, some are universal and can be used with a little bit of modification almost everywhere!

Presentations are an important communication tool in professional and academic environments. The title slide sets the tone and context for the presentation. It’s our main opportunity to make a strong first impression and establish the speaker’s credibility regarding aesthetics and professionalism.

As the core point in how to start a presentation , the title slide gives a clear indication of the topic, the presenter’s identity, and relevant contextual data. A good presentation title serves two purposes: to be practical and creative. Let’s see which are the components of the title slide.

  • Main Title: This is the focal point of the slide. It should be concise yet descriptive enough to clearly explain the presentation’s focus. The font size should be large enough to be readable from the back of the room.
  • Subtitle: If necessary, provide additional clarification or a more detailed descriptor of the presentation’s scope.
  • Presenter’s Name and Details: Includes full name, job title, and affiliation. Positioned for easy visibility but without overshadowing the main title.
  • Date and Venue: These are important for context, especially if the presentation might be referenced later or is part of a larger conference or seminar.
  • Design Elements: The layout should reflect corporate or personal branding, using logos, specific color schemes, and fonts. It should also be clean and not cluttered, maintaining a professional appearance.

The title slide should be crafted around a concept that is valid for different types of slides: less is more. Maintain a high contrast between the text and the background, but don’t overdo it; otherwise, you will affect the readability of your slides . If you’re using a background image, ensure it does not distract the audience’s attention from your speech. Alternatively, we can add a fade-in or morph effect for the text to create neat transitions and grab the audience’s attention without being distracting.

We call a picture slide to those who use strong visual imagery to aid in storytelling presentations , making concepts tangible, providing an emotional impact, or those who serve to illustrate case studies .

Picture slides are mainly used to illustrate complex concepts , but they are also an element that can add dynamism to a presentation, making the overall presentation less “boring” than just sticking to data and tables. The components of picture slides are:

  • High-Quality Image: The image should dominate the slide and be directly relevant to the accompanying content. It should be sharp and have appropriate rights for use – meaning we cannot claim an image from a professional photographer as it is. Either work with royalty-free pictures or with your own images (or work your way around Midjourney to create AI-images).
  • Minimal Text: If text is necessary, it should not compete with the image. Placement should be thoughtful, ensuring that the image remains the focus. In some particular scenarios, text can be the image, as we see in portraits made out of words.
  • Caption: Optional, but can help provide context or cite the source of the image. Also, captions help people with auditory impairments to comprehend the reason why the image is being shown.

Aim to choose images that evoke the emotion you want to convey in your presentation. For an appropriate layout, you can use the rule of thirds for a balanced composition or half-and-half if you are presenting the image alongside relevant written data. Avoid oversaturated images or heavily dramatic black-and-white effects.

We’re all used to text slides. That being said, good design practices regarding text slides don’t consider having huge walls of text with the sole excuse of “delivering information.” Layouts matter. Presenters should stick to a column layout where the information is summarized and arranged using presentation aids to break up the written format monotony and ensure audience engagement .

Text slides can contain the following elements:

  • Headline: Clearly states the topic or point of the slide. It should be written in a distinctive type format than the rest of the body text.
  • Body Text: Should be organized in short, concise paragraphs. Limit the text to essential information to avoid overwhelming the audience. Take special care when selecting the font for the presentation to ensure legibility.
  • Visual References: Icons or tiny graphics can help illustrate points and break up text, enhancing readability and retention.

Always pay attention to legibility. Although bullet points can be helpful in organizing information, some viewers may find them reiterative, like everything is important—hence the reason why we shouldn’t abuse them. You can emphasize words or important phrases with bold, italics, or color changes. Ensure that the text-to-whitespace balance is accurate to prevent crowded slides.

After delivering the title slide, a good practice is to disclose the structure of the topics to be presented. This is where agenda slides are incredibly handy. They help the audience manage their expectations from the presentation and also structure the presentation’s logical flow. As a tool, they are useful in lengthy business presentations or academic presentations in which presenters review the concepts in the format of presentation handouts (or directly by checking the slide deck if it’s facilitated by the event’s organizers).

Agenda slides are usually built out of these components:

  • List of Topics: Clearly enumerated or bulleted, each representing a key section of the presentation. They can list or not the slide number in which they are shown.
  • Timings: Optional, but it can be helpful to indicate how long each section is expected to last.

The introduction slide is designed to provide a background or context for the topic presented, delivering the key concepts, theories, or frameworks required to understand the rest of the presentation.

The introduction slide is placed right after the agenda slide. After the concepts of the introduction slide are delivered, a smooth transition can direct the presentation’s flow toward the core concepts of the presentation. In terms of the introduction slide’s components, we can count:

  • Key Concepts: Briefly introduce and define critical concepts or terms that will be recurrent throughout the presentation.
  • Context Setting: Provide any necessary historical, social, or academic context that frames the topic appropriately.
  • Objectives: Clearly outline what the presentation aims to achieve, helping to set the audience’s expectations about the takeaways.
  • Engaging Visuals: Relevant images, icons, or brief animations can help highlight important elements and make the slide more engaging.

In general lines, the introduction slide should have visual elements but not be overwhelming for the audience. The visuals must not distract, and we cannot use bold color combinations that take the focus away from the message. Using diagrams can also help to present key concepts effectively.

At the final stages of a presentation, we can use the summary slide to review all the key points discussed throughout the presentation. It’s typically placed before the closing remarks, “thank you” slide, or Q&A session. Summary slides help recap the information presented, making it easier to process the key takeaways.

We can count these elements in a summary slide:

  • Key Points: Summarize the main points covered in a clear, easy-to-read format.
  • Visual Recap: Use simple graphics, charts, or callouts to represent significant data or conclusions visually.
  • Concluding Remark: A sentence or two that encapsulates the overarching message or conclusion of the presentation.

Use consistent styling with the earlier slides for a cohesive aesthetic. You can apply levels of hierarchy to the concepts summarized through color or size variations in text.

When preparing for how to end a presentation , the thank you slide is a formal conclusion format. It is always the last slide available in the presentation, and it offers a moment to express gratitude to the audience for their attention, time, and participation. Let’s review which elements make a successful thank you slide:

  • Thank You Note: A simple, clear expression of gratitude. It doesn’t require fancy graphics.
  • Presenter’s Contact Information: Include an email address, phone number, or social media handles for further communication.
  • Invitation for Questions: A prompt that encourages the audience to engage in discussion or ask questions about the presentation.

The transition between the thank you slide and the questions and answers session has to be smooth. Therefore, it’s vital to put an invitation to questions rather than just signaling the slide as the conclusion. A subtle background that follows the slide deck’s aesthetic is always a plus.

Quote slides integrate wisdom, authority, or inspiration from well-known or respected sources into your presentation. They can provide powerful support for your arguments or serve as a motivational element within your talk.

This type of PowerPoint slide is ideal for emphasizing a point, sparking reflection, or inspiring the audience. Use them to underscore the relevance of an idea or introduce a shift in the presentation’s focus.

The components of the quote slide are:

  • The Quote: Clearly presented and attributed to the speaker or writer. The text should be legible with enough emphasis to stand out.
  • Author’s Name and Credentials: Provide context for the quote by including the author’s name and, if relevant, their credentials or why they are an authority on the topic.
  • Related Imagery or Background: An image or abstract design that complements the theme of the quote can enhance its impact.

Work with a quote PowerPoint template that effectively highlights the quote through a professional layout. For visibility, a strong contrast must be maintained between the text and the background; therefore, text boxes with backgrounds are commonly used. If using an image, select one that enhances rather than competes with the text.

Chart and diagram slides are essential for visually representing data, showing relationships, illustrating processes, and explaining complex systems. They transform numbers and abstract concepts into more digestible graphic formats that enhance audience understanding. We can choose between charts and graphs depending on the kind of data to represent, but diagrams often help to contextualize the raw data for simpler explanations.

Use these slides when discussing data trends, comparisons, workflow processes, or hierarchical structures. They are particularly helpful in business presentations, scientific discussions, and any scenario where visual simplification of complex data is beneficial.

The main components for any chart or diagram slide are:

  • Chart or Diagram: Select the appropriate type (e.g., bar chart , pie chart , flowchart , organizational chart ) based on the data or process you are illustrating.
  • Labels and Legends: Essential for clarity, they help the audience understand what each part of the chart or diagram represents.
  • Titles and Subtitles: They clearly indicate what the graphic explains or highlights.
  • Annotations or Callouts: Use these to emphasize key points or data within the chart or diagram.

Keep all text in graphs readable and clear. Animated effects can show a progression or illustrate relationships more dynamically. In terms of colors, use contrasting colors for data sets to aid in differentiation.

The other format for representing data in presentation slides is tables. Tables can structure data sets systematically and allow for the presentation of detailed data in a comparative and accessible format. For this reason, they are ideal for showing exact figures and relationships between items.

These slides are especially useful in financial, research, or technical presentations where precise data needs to be compared or detailed specifications have to be presented side by side. We can identify the following elements in table slides:

  • Table: Clearly segmented into rows and columns. Headers should be distinct to guide the viewer through the data.
  • Row and Column Labels: These should describe the data they contain succinctly and clearly.
  • Highlighting: Use shading, bolding, or color-coding to emphasize important data points or trends within the table.
  • Footnotes or Source Citations: If the data comes from external sources or requires additional explanation, include this information in a discreet but readable manner.

In design terms, tables should be kept as neat as possible. All text must be legible, with sufficient spacing and an appropriate font size (no less than 11 pt). Colors can be used to differentiate between data sets, but avoid using too many colors, as they can lead to confusion.

Sometimes, images aren’t enough. Video presentations and vector image animations are powerful tools, as they can be planned to enhance storytelling. The average duration depends on the total presentation length, but they shouldn’t take more than 30% of the total allotted time (as otherwise, the attendees are just streaming video rather than viewing a presentation).

  • Embedded Video or Animation: This should be high quality (720p minimum) and directly relevant to the presented content.
  • Playback Controls: Clearly visible to allow easy control during the presentation.

As a presenter, your job is to ensure the video or animation is seamlessly integrated into the presentation, both technically and from a design perspective. This means testing the playback functionality multiple times prior to the presentation.

  • Clear Directive: The CTA itself should be straightforward and compelling, such as “Register Now,” “Join Us,” or “Visit Our Website.”
  • Reasons to Act: Briefly reiterate the benefits or importance of taking the action, enhancing the persuasive appeal.
  • Contact Information or Links: Provide all necessary links or contact details to make it easy for the audience to know how to act.

The CTA slide should feature a design that grabs attention. Use strong, action-oriented language and a large, readable text.

A quick note before going any further: when opening PowerPoint, some of the commands in the ribbons will look grayish and won't be highlighted when you hover the mouse over them.

This happens since some commands need to be selected in order to function. For example, if you want to change the color of a text, you first need to select it.

The first aspect to learn is PowerPoint Main Window. To facilitate the explanation, we've organized its main elements with numbers from 1 to 10:

1. Quick Access Toolbar: allows you to customize commands to have them at hand. You only have to select it and go to "More commands."

Third Point

You’ll then repeat the process one last time for point three.

Finally, you’ll bring all three points full circle and link them back to your main theme, outlining the main lessons to take away from the presentation.

Base it around a story: With keynotes often being either informative or inspiring in nature, basing your presentation around a story will make it much easier to follow.

If you want to make great presentations, and you are not a design wizard, slide layouts can come in really handy! It is a great place to start designing your presentation. If you are beginning your journey with PowerPoint, you may wonder, what is slide layout in PowerPoint?

Slide Layouts in PowerPoint are pre-created slide designs that allow you to quickly and easily add text, headings, images, tables, etc. By default, PowerPoint provides 9 slide layouts (including a blank slide). PowerPoint also allows you to easily add, edit and delete slide layouts.

So, where can you find these slide layouts? How do you format them? Well, in this article, I will share with you all the basic details that you need to know in order to get started with using and understanding the slide layouts in PowerPoint!

So, let’s get started!

1. What is a Slide Layout in PowerPoint? 

A slide on PowerPoint can contain several elements including text, shapes, tables, images, headers, footers. In fact, there may be more than one same type of element present on a single slide. When you start creating a presentation, you are basically using some of these elements to share an inspiring story or an important piece of information.

However, the aesthetics of the slide are determined by how well you lay out these elements on the slide. If you have fairly good design skills, you will easily be able to create an aesthetically pleasing slide! For the rest of us, slide layouts are the way to go!

In Microsoft PowerPoint, a “Slide Layout” refers to the way certain elements (such as text box, image, table, etc) are arranged on the slide. A slide layout is a pre-designed slide format with placeholders that allow you to add text, images, and other elements quickly to the slide.

Using slide layout and master slides, you can also control the color scheme of the presentation, type of fonts, effects, background, headers, footers, and other aspects of presentation design.

This functionality in PowerPoint that allows various pre-created designs to be added to a presentation is often leveraged by corporations. 2. Where is the Slide Layout in PowerPoint?

To get quick access to the different layouts of your PowerPoint presentation, click on the ‘Layout’ button in the ‘Slides’ section of the ‘Home’ tab . By clicking on the ‘Layout’ button you will see the various slide layouts present in your presentation.

How to Access Slide Layouts in PowerPoint?

To get complete access to all the Slide Layouts in your PowerPoint so that you can edit them, you have to go to the ‘Master Views’ section under the ‘View’ tab. The whole process is described in the steps mentioned below.

Step-1: Go to the ‘View’ Tab

The first step is to go to the ‘View’ tab which is the second to last tab in the ribbon of your PowerPoint.

Step-2: Go to the ‘Slide Master’ view

In the next step, all you have to do is click on the ‘Slide Master’ view option in the ‘Master Views’ section which is located in the ‘Views’ tab.

By clicking on the ‘Slide Master’ viewing option, you will be taken to the Slide Layout view of the PowerPoint presentation.

Here, you will notice that the menu options change. Furthermore, you now have access to the different shape, image and text placeholders present on the slide. You will be able to move these placeholders and get complete access to the slide layout.

3. How to Change the Slide Layout in PowerPoint? 

You can change the Slide Layout of a slide in your PowerPoint presentation by using the Quick access ‘Layout’ option in the ‘Home’ tab of the ribbon. The process is described in 2 easy steps below.

Step-1: Select the Slide first

At first, you have to go to the slide you want to change the layout of and then click on the ‘Layout’ button in the ‘Slides’ section of the ‘Home’ tab. This will open a drop-down menu of all the slide layouts in your presentation.

Step-2: Click on Layout and Select a Different Layout

After clicking on the ‘Layout’ button, from the drop-down menu, simply select the layout that you want the slide to change into and the layout of that slide will be changed instantly.

4. How to Apply Slide Layout to All Slides? 

Applying slide layout to all slides could mean a couple of things –

  • You want to make a change that applies to all slide layouts OR
  • You want a specific slide layout to be applied to all slides.

Whatever the case may be, we shall understand both in greater detail below –

4.1 How to Make a Change that Applies to All Slide Layouts

There are certain changes that you sometimes need to apply to all slides. For instance, adding a slide number, adding a company disclaimer, or a company logo.

To apply a change to all slide layout, you will have to edit the ‘Master Slide’ .

You will first need to access the “ Master Slides ” using the “ Slide Master View “. To do that, simply click on “ View “, then click on “ Slide Master “. (as described in the previous sections)

It is the first slide in the ‘Slide Master’ view option which you can find, as discussed earlier, in the ‘Views’ tab.

By applying a change to the ‘Master Slide’ the change will be added to all the other slides in the presentation as well. After going to the ‘Slide Master’ views, follow the simple steps described below.

In the following example, I’m going to add a “Star” (that shall act as a logo) to the top-right corner of the master slide.

Step-1: Apply the change in the ‘Master Slide’ layout.

To apply slide layout to all the slides, make the change that you want to have on the ‘Master Slide’ . In this case I have added a star on the top right corner of the Slide.

Step-2: Send the applied changes to the background

To keep the change, you have made on the background of every slide as a layout, ‘Right click’ on the objects and click on the ‘Send to back’ option from the drop-down menu.

That way, the object will be applied to the background of all the slides and the texts will be visible on top of the logo or the element added.

4.2 How to Apply Specific Slide Layout to All Slides?

If you want to apply a particular slide layout to all slides, follow the below mentioned steps –

Step 1 – Select All Slides

The first step is to select all the slides. To do that, first click on any one slide. Then, press the “ Ctrl+A ” (Cmd+A for Mac) key combination on your keyboard to select all slides.

Step 2 – Change the Slide Layout

The next step is simply choosing the layout that you want to apply to all slides. To do that, first click on “Home”. Then, click on “Layouts” and choose a layout from the array of slide layouts presented by PowerPoint.

As soon as you select a slide layout, PowerPoint will apply it to all slides.

5. What is the Default PowerPoint Slide Layout? 

The default PowerPoint Slide Layout is the style of layout that the Microsoft PowerPoint software provides you out-of-the-box when you open a new PowerPoint file.

The default layout consists of 9 styles of slides which are:

  • Title Slide
  • Title and Content
  • Section Header
  • Two Content
  • Tittle Only
  • Content with Caption
  • Picture with Caption

6. How to Edit Slide Layout in PowerPoint? 

To edit a slide Layout, you have to use the ‘Slide Master’ view as discussed earlier in the article and follow the simple steps given below.

Step-1: Go to the layout you want to change in the ‘Master Slides’ view

The first step is to go to the ‘Slide Master’ view in the ‘View’ tab and click on the Layout that you want to edit.

Step-2: Make the preferred edits to the layout

Now, all you have to do is make the preferred edits in the selected layout. After making the edits, the element of the layout will be changed accordingly in the ‘Layout’ option in the ‘Slides’ section of the ‘Home’ tab and all the slides that are using that layout.

7. How to Create a New Slide Layout in PowerPoint? 

To create a new slide layout in PowerPoint, go to the ‘Slide Master’ view in the ‘Views’ tab in the ribbon and follow the 2 easy steps described below.

Step-1: Click on the position where you want to add the new slide layout

At first you have to click on the position where you want to add the new slide layout in the ‘Slide Navigation’ bar.

Step-2: ‘Insert Layout’ button at the ‘Edit Master’ section.

After you have clicked on the position where you want to add the new slide layout, all you have to do is click on the ‘Insert layout’ button located in the ‘Edit Master’ section of the ‘Slide Master’ view.

7b. How to Insert a Blank Slide Layout in PowerPoint? 

To insert a blank slide layout in PowerPoint, add a new layout and follow the simple steps given below.

Step-1: Select all the elements in the new slide layout

After inserting a new slide layout, select all the elements that are on the slide layout. You can do that by holding the ‘Left’ mouse button at one corner of the slide and dragging the selector cursor over all the elements of the slide.

Alternatively, you can also ‘left click’ on the elements one by one while holding the ‘Ctrl’ button on your keyboard or click on one of the elements in the slide layout and press the ‘ Ctrl + A ’ buttons on the keyboard of your computer.

Step-2: Delete the elements or object present on the slide

Finally, delete all the elements that you have selected on the new slide layout. You can do that by clicking on the ‘Backspace’ button or the ‘Delete’ button on the keyboard of your computer while keeping all the elements of the new slide layout selected. That way, the new slide layout will be blank.

Step-3: Rename the Slide Layout and Exit Slide Master

The last step is to rename the slide master so that you can easily identify the newly created slide layout in the layout menu. Once that’s done, simply click on “ Close Master View ” to exit the slide master.

8. How Many Types of Slide Layouts are There in PowerPoint?

Nifty Copilot alternatives that add AI to Word, Excel, and PowerPoint

Microsoft is currently focusing significant financial and human resources on the development of its AI assistant Copilot and its integration into Windows and Microsoft 365 applications. The company sees this as an opportunity to set itself apart from the competition of Libre Office and Google.

Today, users have several alternatives for AI support in Office. This is because ChatGPT from OpenAI, the software that triggered the AI hype, is also suitable for office tasks in conjunction with Word, Excel, and others.

Independent developers provide add-ons that allow you to integrate ChatGPT directly into Word so that you always have it at hand.

At the same time, there are AI systems, especially from American providers, that help you create presentations online. These presentations can then be downloaded and in many cases converted into PowerPoint format PPTX.

ChatGPT for the online versions of Word & Co.

The best alternative to Microsoft Copilot is still ChatGPT . Many users utilize this AI system by drafting texts in Word or Outlook and then copying them via the clipboard into the ChatGPT window and editing them there. They then copy the texts back into the original application.

There is an easier way, especially for users who work with the online version of Microsoft’s Office package. Depending on the browser used, they can either integrate ChatGPT directly or install an extension for this purpose.

Users of the Chromium browser Vivaldi can take advantage of a special feature of the software: Vivaldi is able to display browser tabs within its main window as resizable tiles. After clicking on the rectangle symbol in the lower browser bar, they can be arranged next to or on top of each other or in a grid view.

The solution in this case is as follows: You open the online version of Word or Excel in Vivaldi and then open ChatGPT on a second tile or in a second tab. In this way, you can quickly copy texts into the AI for editing and continue working with the results.

But users of other browsers are not left empty-handed either. If you work with a Chromium browser such as Google Chrome, the ChatGPT Side Panel extension is suitable for you. It installs a sidebar in Chrome and opens the ChatGPT website in it. The same is also available for the Firefox browser with ChatGPT Side Bar for Firefox .

Simplify copying to ChatGPT in Word

What works online can also be implemented with the desktop versions of Word and Excel. For example, there is an add-on that makes the time-consuming task of copying longer Word texts to ChatGPT easier. There is one restriction when using the AI: It only accepts entries of a maximum of around 15,000 characters.

This restriction applies to both the free and the commercial version. If you want to edit longer texts, you have to send them to ChatGPT in several portions via the clipboard. You also need to customize the prompt so that the system waits for the remaining parts.

Both tasks can be made easier with the free Word-to-ChatGPT tool from the manufacturer SmartTools. It divides longer texts into several sections at the click of a mouse and formulates suitable prompts that inform ChatGPT that further parts are to follow or that the transmission is now complete.

Word: Send texts directly to ChatGPT

ChatGPT-Assistant is another free add-on from the same manufacturer, the German company SmartTools. It provides Word with a sidebar on the right-hand side and allows you to transfer an entire document or a selected section of text directly to ChatGPT.

To do this, it uses the ChatGPT API, an interface that you have to register with ChatGPT to use free of charge. You then generate an API key on the AI system’s website, which you copy into a field in ChatGPT Assistant. The tool then uses this information to automatically establish a connection to the AI.

Note: Registration for the ChatGPT-API is free, but you have to pay to use it. You are charged for the amount of text that ChatGPT receives from you via the interface. However, the costs are very low. According to the author of ChatGPT-Assistant, 23,000 characters cost around 2 cents, and shorter texts are charged at an even lower rate.

In addition, every user receives a credit of 5 US dollars after registering with ChatGPT, which you can use to try out ChatGPT-Assistant, for example. However, if it is not used, this credit expires after a certain period of time.

The add-on tool GPT for Excel Word also requires an API key, the use of which is then billed to ChatGPT. Similar to the ChatGPT Assistant, it adds a new sidebar to Word and Excel.

As soon as you have generated the key code and entered it in the add-on, you can send the entire document or selected parts of it to the AI for editing. The add-on supports you by displaying some standard commands such as “Translate” or “Summarize” as buttons.

ChatGPT for Excel

The Copilot for Excel still looks rather unfinished. But even the support for using ChatGPT with the spreadsheet is not a convincing alternative.

On the one hand, there are practical reasons for this: Since Excel and the free ChatGPT only exchange their data via clipboard, direct control of the spreadsheet by the AI is not possible. However, you can ask ChatGPT questions about Excel, for example about a specific function. However, this is also possible with Google and is faster and easier, at least in some cases.

The AI also accepts complete tables, in the paid version even as CSV or XLSX files, and searches for specific information. Some online tools such as AskCSV , ChatCSV , or Chat2CSV also offer the same service.

However, they also work with subscription models and therefore offer no real advantage over the original ChatGPT, especially as the typical errors of generative AI are often even more serious when dealing with tables than with texts.

ChatGPT for Excel is available as an add-on, which takes a completely different approach to the add-ons already presented. Instead of forwarding the user’s questions and commands to the AI and returning the answers, it offers seven of its own Excel AI functions that you can use to edit your spreadsheet.

For example, you can use AI.Translate to translate table texts into other languages, AI.Format to implement standardized formatting, or AI.List to create output lists for multiple rows. The first 50 calls of the AI are free, after that you have to subscribe to the tool.

The add-on is helpful when it comes to quickly analyzing a table. However, although the seven functions provided are sufficient in many cases, they do not come close to the range of functions of Copilot or the original ChatGPT.

Create presentations with AI power

It can also add speaker notes; however, this function is still in the beta stage.

In the free version, the presentation can contain up to seven slides and you can create a maximum of five presentations. In the Pro version for 9 dollars per month, you get up to 15 slides and an unlimited number of presentations.

As the slides are designed directly in PowerPoint, the result is a clean presentation in PPTX format. The next AI presentation program is different: although Gamma lets you save the finished slides in PDF or PPTX format, it adds a watermark to them in the free version.

Gamma is an online service with which you can create presentations, websites, or documents. You can specify your own texts or a topic or upload a finished presentation for editing. If you decide on a topic, Gamma suggests an outline that you can edit.

You can then select one of the design templates on offer or instruct the software to create a completely new one. Fonts, colors, and images can also be changed or adapted afterwards. Finally, the free version provides you with a presentation that can contain up to 10 slides.

As the use of the AI is also limited, the user can only create a limited number of presentations. In the Plus version for 8 dollars per month, this limitation no longer applies and no watermark is visible on the up to 15 slides.

A Pro version for 15 dollars per month allows up to 30 slides. The results are consistently better designed than with ChatGPT for PowerPoint . The texts are also more informative.

Gamma pricing

The online AI tool Gamma puts together good-looking presentations in just a few seconds, allowing you to edit the individual elements (outline, fonts, text, images) afterwards.

While ChatGPT for PowerPoint and Gamma focus their presentations on a user who wants to find out more about a topic, the online AI tool Sendsteps provides presentations that are designed to be given in front of an audience. In line with classic presentation rules, they primarily contain key points that the speaker fills with life.

The first presentation is free of charge, but the second presentation can contain a maximum of three slides. In both cases, Sendsteps adds branding to the slides, which is no longer included in the commercial subscription version.

Google Gemini and Apple Intelligence

ChatGPT’s biggest competitor is currently Google Gemini, formerly Google Bard. It is also free to use and only requires a Google account.

However, you won’t find any help such as integration in Word or Excel. If you want to use Gemini for text editing in Word, you have to copy the texts into the AI input mask using the clipboard.

Google has recently started to integrate Gemini into the Pro versions of Google Docs and Gmail. Apple, on the other hand, has announced that it will not launch its recently introduced AI system Apple Intelligence on the European market until 2025 at the earliest. The reason given by the company is that it first needs to analyze the impact of the EU’s Digital Services Act on the product.

“I understand it felt that way for a lot of the fans here,” he said. “In my mind, it felt that way, too.”

Slater was in the middle of the worst season of his career. He was hitting only .185 with a .531 OPS, and the trade to Baltimore was his second time being dealt in July.

“Mentally, I was down in the dumps with how the season was going,” Slater said.

When he joined the Orioles in Cleveland at the beginning of August, the ballclub’s hitting coaches gave him a couple of days to get acclimated. They then approached Slater about ideas to get him back on track, asking the 31-year-old veteran outfielder if he’d be open to change.

“Absolutely,” Slater replied.

Slater walked into the meeting, and the Orioles’ hitting coaches had a PowerPoint presentation prepared. Throughout the discussion, Slater could feel some of his confidence coming back. One of baseball’s best teams sought him out amid the busiest day of the year to fill a specific platoon role. Then that club’s hitting coaches had a plan to get him back to his days when he was a valuable right-handed bat for the San Francisco Giants.

Since that meeting, Slater has revived his season thanks in part to what came from it, providing the Orioles a boost against left-handed pitchers and in the outfield. In 22 games with the Orioles, Slater is slashing .271/.386/.396 — good for a solid .782 OPS.

“Mentally I was not in a great place with the season going the way it was,” Slater said. “But once I got here, I realized I had an incredibly long track record of high performance, especially in a very specific and peculiar role.

“To know there was intention behind the move that they made, that was super reassuring for me and gave me a ton of confidence.”

Slater said the PowerPoint compared his swing during his short stint with the Cincinnati Reds to his one in previous years when he was a productive player. From 2017 to 2023 with the Giants, Slater played all three outfield spots while hitting .258 with a .747 OPS. Most of his at-bats came against left-handed pitchers, against whom his OPS has been 17% better than his overall mark.

Meetings like these are common for new players to the organization, co-hitting coach Matt Borgschulte said, and they’re all “unique” for that specific player. Borgschulte and the rest of Baltimore’s hitting coaches eyed changes to Slater’s swing to keep his bat in the zone longer, allowing him to tap into his gap-to-gap power rather than pulling off the ball. They liked the recent change he made with the Reds to lower his bat angle in his stance. They also recommended he keep his front hip closed longer and shorten his load, allowing him to stay on his back side longer and avoid lunging forward.

“He’s been very receptive and really, really good at making adjustments, which is obviously how you stick around in this game,” Borgschulte said. “I think some of those minor changes have just allowed him to keep the bat in the zone a little bit longer and use his strengths the best we can.”

Slater did the drills suggested to implement these changes, and the results came almost immediately. He went 2-for-3 with a double in both his first and third starts with the Orioles. Last Monday, he reached in five of his six plate appearances, smacking three hits and driving in three runs. It was his first time reaching base five times in a game since September 2020.

“It might look simplified,” he said of his swing changes. “And to me it does feel that way. But the main thought for me was more about holding my weight on my back side a little bit better and trying to be a little more conscious of not letting my hands drift forward in my swing.”

Slater played all last season with a nerve issue in his elbow. In the offseason, he underwent ulnar nerve transposition surgery and had bone spurs removed from his elbow. He spent most of the winter rehabilitating, beginning spring training behind and only totaling 18 at-bats during camp. Slater began the season 3-for-30, and his playing time in San Francisco was reduced from there before he was involved in minor trades to Cincinnati and Baltimore, the latter for cash.

“I was never able to get in a groove and get my swing right,” he said.

Slater’s role can be difficult to manage. It requires him to play infrequently, starting only a couple of games a week, but he’s then asked to come off the bench and pinch hit in crucial moments against lefty relievers. He essentially replaced Austin Hays, also a right-handed hitting outfielder, after Baltimore sent him to Philadelphia for reliever Seranthony Domínguez.

“I really like [Slater]. I like his game,” manager Brandon Hyde said. “He’s a very, very mature player. He knows the strike zone extremely well, takes a good pass at the baseball when it is in the strike zone, is a really smart base runner, he can play three spots in the outfield extremely well. There’s a lot to like when he’s out there. You can trust him.”

There’s also a larger factor working at play for a player like Slater. Sometimes, inexplicably, an underperforming player on one team can go elsewhere and turn his season around. While different players, Slater’s success in Baltimore is mirroring that of Aaron Hicks last year after the Yankees jettisoned him from New York and the Orioles picked him up to great success.

“A season can really snowball on you if you’re not in a good spot mentally,” Slater said. “There can be a lot of anxiety that comes out of baseball, especially when you’re not performing. It can just pile up, especially when you see no end in sight or a way out of it.

“A lot of that weight was kind of lifted when I got here.”

What’s to come?

Six games against .500 teams — but perhaps that’s how Orioles opponents view them, too.

The Orioles ship up to Boston on Monday for a three-game series against the Red Sox (72-71). After a day off Thursday, Baltimore will head to Detroit for a three-game set against the Tigers (73-71) and a small chance to clinch a playoff spot over the weekend. The Red Sox and Tigers are both fighting for a wild-card spot but are on the outside looking in.

If not for the Orioles’ excellent start, they could have been in that same position, too. Baltimore (82-62) began the season 42-22 but has been a .500 team since. With inconsistent offense and an injury-plagued pitching staff, the Orioles are 25-29 since July 9 and 17-18 since Aug. 1.

So, what’s to come? Maybe another 3-3 road trip.

What was good?

In early June, Cedric Mullins was trapped in the worst slump of his career. Since, he’s been one of the Orioles’ best players and among the American League’s best outfielders.

Mullins was hitting .171 with a .522 OPS on June 8. In 74 games since, the center fielder is hitting .288 with an .865 OPS — numbers that are nearly equal to those he posted in his 30-homer, 30-stolen base 2021 campaign. Over that span, his OPS ranks eighth among AL outfielders, while his 2.3 wins above replacement by FanGraphs’ estimation is second on the Orioles behind only Gunnar Henderson (3.5).

As Baltimore’s bats scuffled last week, Mullins went 9-for-20 with two homers. With the offense’s inconsistency and Hyde searching for solutions, it’s possible Mullins continues moving up in the order — perhaps back to the leadoff hole he occupied for most of 2021 through 2023.

What wasn’t?

Aside from Mullins, Henderson and Slater — a trio that combined to slash .407/.492/.741 for a 1.233 OPS — the rest of Baltimore’s offense posted some paltry numbers: .177/.272/.218 for a .490 OPS.

Catcher Adley Rutschman is engrossed in the worst slump of his career and went 4-for-23 with no extra-base hits last week. Rookie Jackson Holliday went 3-for-20. Trade acquisition Eloy Jiménez, who has fallen back to Earth after his hot start with Baltimore, went 1-for-9. Prospect Coby Mayo, who is rarely playing, went 0-for-6 with four strikeouts.

On the season, the Orioles still have one of baseball’s best offenses, but it hasn’t been recently. The Orioles scored only four runs in their final four games last week. Since Aug. 21, the Orioles have scored three or fewer runs in 10 of 18 games.

The absences of Jordan Westburg, Ramón Urías and Ryan Mountcastle are being felt.

On the farm

On the final day of their season, the High-A Aberdeen IronBirds stole three bases to set the all-time minor league record for most in a single season.

The IronBirds stole 363 bases in 132 games — an average of 2.75 per game — to break the Osceola Astros’ record of 360 from 1988. Enrique Bradfield Jr., now in Double-A, led the way with 59, while seven players stole more than 20 bags.
