What are the Best Presentation Software Options?

OK, a few years ago the answer would have simply been ‘PowerPoint’. Maybe the last couple of years Google Slides too. If you were really serious about design you might have considered Photoshop or these Photoshop alternatives . But there’s a host of new kids on the block trying to make creating awesome presentations that bit easier.

Typically, they’re more focused on usability, and creating the most professional looking presentations in the shortest time possible. Some presentation software platforms will then throw in some extra features like collaboration or broadcasting.

The question is can any of these up-starts dethrone the existing big wigs? Let’s have a quick look at the pros and cons of each;

So, there’s not a massive variation in prices, but you’ll notice all the presentation software options seem to be aimed at slightly different niches. That in mind, let’s take a look at which presentation tool might be right for you!

First up we have Prezi. Starting from $5 per month, this was one of the early alternatives to the major presentation tools. It also has a very distinctive, non-linear visual style. Rather than flipping between static slides, you sort of zoom in and out of particular elements on one master slide.

But don’t think this is a gimmick. There are some really neat enterprise features too. I particularly liked the ‘Smart Branding’ feature. This allows you to upload your logo, and Prezi bases the colour palette for your presentation around what suits your brand identity.

With a one off fee of $29, Deckset takes a different approach to presentations again. Indeed, it’s aimed more at design-phobes. The idea is you simply input your notes as text document and Deckset does the rest.

This works with a series of built in templates. Key aspects of these can then be edited, including fonts and color schemes. It’s very easy to get a workable presentation in a few seconds, but the trade-off is a little bit less flexibility.

Starting at $9.99 per month, Haiku Deck is the priciest of today’s presentation tools. However, I was a big fan of it in terms of use for both online and in-person presentations. To that end, you can record a voiceover and export the presentation as a video file.

The real selling point for me is the inclusion of over 40 million stock images. When you’re trying to create presentations, quite often sourcing decent visuals can quickly become costly, so this is a real asset.

At $96 per year, automation is the name of the game with Slidebean. This is another tool which is more geared towards people who want to work with templates, rather than creating their entire presentation from scratch.

You really just have to input your headings and body copy and then select a theme. The presence of real-time collaboration means that Slidebean could be a very good option for larger organizations, with multiple people working on different elements of a given presentation.

Zoho Show is created Zoho. They have a suite of online tools that incldes an online form builder and webinar software . Show offers a free version, but it should be noted that for business use you’ll be charged per user per month. Of course, whether or not this is right is highly dependent on your business.

In terms of use, it will feel very familiar to PowerPoint veterans. Although the UI is a little bit more stripped back. What really sets Zoho Show out though is the ability to broadcast your presentations live online, which means it could also be used for the likes of webinars or remote training sessions.

Keynote is basically an improved PowerPoint, it offers the same approach to creating slides, but offers nice and clean customizable templates, a simple interface and great details like smart guides.

The biggest issue with Keynote is the long learning process that it requires. Similar to Microsoft's tool, you'll need to sit down for a few hours to learn to use the platform, and another larger set of hours to make a professional presentation.

Visme is a web based platform for building presentations. Their familiar interface is similar to PowerPoint, but they have successfully simplified a complex UI to a nicer and more understandable navigation. Still, you'll need to spend a few hours to get a good grasp of where all the customization options can be found.

The platform offers an interesting (but certainly limited) gallery of images, but they succeed at delivering beautiful infographic elements (which they call ‘Charts and Graphs’) that you can use to add some color and make your slides much more dynamic.

5- FLOWVELLA

Ease of use: ★ ★ - Passable

Flowvella is available on the Mac App Store as a desktop application. It provides a simple interface (certainly cleaner than Microsoft PowerPoint and somewhat similar to Apple Keynote) and some very nice design templates, which set good grounds so you can start building a nice looking set of slides on top of them. This is by far their biggest strength! If you want to start from scratch, however, you might feel a little lost creating something that looks good.

We found, however, that the oversimplified interface makes some basic options hard to find, like changing the color of a shape. Also, while running as a desktop app it still requires an Internet connection to download some elements, which can lead to a slower performance than a 100% desktop tool.

Update: We also read recently that they launched a tvOS app for the new AppleTV, making them, as far as we know, the first presentation tool to leverage the new platform.

The premise of Canva is an ‘amazingly easy graphic design software'. It lets you create anything from print design to banners and presentations. They provide an easy to use interface with a huge selection of pre-built designs that you can modify to your liking.

These pre-built elements let you quickly draft a nice presentation even if you have no design skills, but it does require you to drag and drop and arrange the content of your slide, which can become time consuming.

'Slides' is a nice website that lets you create and share presentations online. Formerly slides(dot)io and slid(dot)es, they finally settled for slides(dot)com. This startup was founded by Hakim El Hattab and Owen Bossola in Stockholm, Sweden, and it makes use of the reveal.js framework that we mentioned above.

Slides has a nice web interface that encourages you to create a nice and clean presentations, however, it still depends on the user’s ability to manipulate the elements and arrange them in a nice style. Still, their pre-defined formats and their grid system help guide you to a better result.

The platform also allows for custom HTML and CSS coding, which lets experienced users with coding skills, customize their templates even further.

On the one hand, it's long been a staple of the hugely popular Microsoft Office suite, meaning that for most users this is going to be the first - and last - presentation software they are going to need to use.

Additionally, Microsoft has made PowerPoint, along with their other office products, available as free apps (with limited functionality) on both iOS and Android for mobile use, meaning it's even harder to avoid them. And this is before we even consider the inclusion of PowerPoint in Microsoft's cloud-based Microsoft 365.

It does everything necessary that you'd expect of presentation software, allowing you to add text and media to a series of slides, to accompany a talk and other presentations. There are easy-to-use templates included to help spice things up a little, but even a general user with little experience of it is likely to find themselves able to use PowerPoint without much trouble at all.

Overall, it's hard to go wrong with PowerPoint, and although Microsoft 365 has a nominal cost, the apps are free to use even if they do have more limited functionality.

Other presentation software to consider

Google Slides  is part of the Google Workspace (formerly G Suite) office platform intended as an online alternative to Microsoft Office. It may seem a little limited by comparison to PowerPoint, but as it's browser-based that means cross-platform compatibility. Additionally, it allows for collaborative work, and Google Slides really works well here. On top of the fact that it integrates with the rest of the Google Workspace apps, not least Google Drive, and you have a contender. 

Zoho Show  is another of the many, many tools and apps that Zoho has made available for business use. It also operates in the cloud so it's accessible to any device with a browser, and it also allows for collaborative work. You can also easily share the link for users to download, or provide a live presentation online. The updated version has a simpler and easier to use interface and comes with a free version and a paid-for one with expanded features.

Evernote  is normally thought of as just note-taking software, but it does provide the option to create a presentation you can share online or with an audience. In that regard, it's a little more limited than the other options in not being dedicated presentation software. However, as an easy and handy way to pull together a presentation quickly, it could serve as a backup or last-minute option, especially if Evernote is already being commonly used by you.

LibreOffice Impress  is part of the open-source suite offered as a free alternative to Microsoft Office, and comes with a powerful array of tools and editing options for your presentation, not least working with 3D images. It's supported by a large community, so it's easy to find an array of additional templates. If there is a limitation it's that it's software you download and install rather than web-based, but any presentations created should be easily portable to the web if needed.

Adobe Spark  does things a bit differently, as rather than just use images it's geared toward video as well. This makes for potentially more powerful multimedia presentations, especially as Adobe also has a big selection of photos and images available for its users. There is a free tier for core features but requires a subscription for custom branding, personalized themes, and support.

Slides  comes with a lot of features in an easy-to-use interface, and involves setting up presentations using drag and drop into an existing grid. It's also internet-based so there's no software to download, and it only requires a browser to use and access.

Speech Recognition Tech Is Yet Another Example of Bias

Siri, Alexa and other programs sometimes have trouble with the accents and speech patterns of people from many underrepresented groups

“Clow-dia,” I say once. Twice. A third time. Defeated, I say the Americanized version of my name: “Claw-dee-ah.” Finally, Siri recognizes it.

Having to adapt our way of speaking to interact with speech recognition technologies is a familiar experience for people whose first language is not English or who do not have conventionally American-sounding names. I have even stopped using Siri because of it.

Implementation of speech recognition technology in the last few decades has unveiled a very problematic issue ingrained in them: racial bias. One recent study , published in PNAS, showed that speech recognition programs are biased against Black speakers. On average, all five programs from leading technology companies like Apple and Microsoft showed significant race disparities; they were twice as likely to incorrectly transcribe audio from Black speakers as opposed to white speakers.

In normal conversations with other people, we might choose to code-switch, alternating between languages, accents or ways of speaking, depending on one’s audience. But with automated speech recognition programs, there is no code-switching—either you assimilate, or you are not understood. This effectively censors voices that are not part of the “standard” languages or accents used to create these technologies.

“I don't get to negotiate with these devices unless I adapt my language patterns,” says Halcyon Lawrence , an assistant professor of technical communication and information design at Towson University who was not part of the study. “That is problematic.” Specifically, the problem goes beyond just having to change your way of speaking: it means having to adapt your identity and assimilate.

For Lawrence, who has a Trinidad and Tobagonian accent, and others part of our identity comes from speaking a particular language, having an accent, or using a set of speech forms such as African American Vernacular English (AAVE). For me as a Puerto Rican, saying my name in Spanish, rather than trying to translate the sounds to make it understandable for North American listeners, means staying true to my roots. Having to change such an integral part of an identity to be able to be recognized is inherently cruel, Lawrence adds: “The same way one wouldn’t expect that I would take the color of my skin off.”

The inability to be understood by speech recognition programs impacts other marginalized communities. Allison Koenecke, a computational graduate student and first author of the study, points out a uniquely vulnerable community: people with disabilities who rely on voice recognition and speech-to-text tools. “This is only going to work for one subset of the population who is able to be understood by [automated speech recognition] systems,” she says. For someone who has a disability and is dependent on these technologies, being misunderstood could have serious consequences.

There are probably many culprits for these disparities, but Koenecke points to the most likely: training data. Across the board, the “standard” data used to train speech recognition technologies are predominantly white. By using narrow speech corpora both in the words that are used and how they are said, systems exclude accents and other ways of speaking that have unique linguistic features, such as AAVE. In fact, the study found that with increased use of AAVE, the likelihood of misunderstanding also increased. Specifically, the disparities found in the study were mainly due to the way words were said, since even when speakers said identical phrases, Black speakers were again twice as likely to be misunderstood compared to white speakers.

Additionally, accent and language bias lives in the humans that create these technologies. For example, research shows that the presence of an accent affects whether jurors find people guilty and whether patients find their doctors competent . Recognizing these biases would be an important way to avoid implementing them in technologies.

Safiya Noble , associate professor of information studies at the University of California, Los Angeles, admits that language is tricky to incorporate into a technology. “Language is contextual,” says Noble, who was not involved in the study. “Certain words mean certain things when certain bodies say them, and these [speech] recognition systems really don't account for a lot of that.” But that doesn’t mean that companies shouldn’t strive to decrease bias and disparities in their technologies. However, to try to do this, they need to appreciate the complexities of human language. For this reason, solutions can come not only from the field of technology but also from the fields of humanities, linguistics, and social sciences.

Lawrence argues that developers have to be aware of the implications of the technologies they create, and that people have to question what purpose and who these technologies serve. The only way to do this is to have humanists and social scientists at the table and in dialogue with technologists to ask the important questions of if these recognition technologies could be co-opted as weapons against marginalized communities, similar to certain harmful developments with facial recognition technologies.

From the tech side, feeding more diverse training data into the programs could close this gap, says Koenecke. “I think at least increasing the share of non-standard English audio samples in the training data set will take us towards closing the race gap,” she adds. They should also test their products more widely and have more diverse work forces so people from different backgrounds and perspectives can directly influence the design of speech technologies, says Noble.

But both sides agree that tech companies must be held accountable and should aim to change. Koenecke suggests that automated speech recognition companies use their study as a preliminary benchmark and continue using this to assess their systems over time.

With these strategies, tech companies and developers may be able to make speech recognition technologies more inclusive. But if they continue to be disconnected from the complexities of human language and society without recognizing their own biases, there will continue to be gaps. In the meantime, many of us will continue to struggle between identity and being understood when interacting with Alexa, Cortana or Siri. But Lawrence chooses identity every time: “I’m not switching, I'm not doing it.”
