  • Maternity/Paternity Leave

Maternity leave is basically a period of absence from work that is granted to a mother before and after the birth of her child. The US government doesn’t guarantee for paid maternity leave, employers may, however, provide paid leave if they choose. If you have worked at a company for at least a year, you are entitled by federal law to take up to 12 weeks of unpaid maternity leave.

Paternity leave is a period of time that the father of a new baby is allowed away from work. Usually, a company provides up to eight weeks of paid paternity leave. When a man takes time off because his partner is having a baby, adopting a child or having a baby through a surrogacy arrangement he might be eligible for: 1 or 2 weeks’ paid paternity leave, paternity pay and/or shared parental leave and pay.

What To Include In A Leave Application?

An office leave application should include the following details:

Date of the application

Name and address of your manager to whom you are writing the letter

Subject or purpose of writing the letter: Add ‘Leave Application’ in your subject line along with other details (If required)

Salutation in the form of recipient’s name or title

Duration of leave, preferably in the form of from and to dates

Specify the reason for leave

Your full name, job title and contact information

Your signature

How To Write A Leave Application For Office?

You should include all the necessary details to help your manager approve your request. It should sound polite and professional. Use the following tips and steps to write a professional leave application:

Know the right person to authorise your leave: Find out whether you should address your leave application to your immediate supervisor or someone else.

Date of the application: This is the date on which you are writing your leave application. This date is should not be too far from the date on which you plan to submit your application.

  •  N ame and address of the recipient:  Include the complete name, designation and official address of the person you are addressing your leave request to.
  • Subject or purpose of writing the letter: Make the purpose of the letter clear in the subject line. It should clearly state that you are requesting a leave.
  • Salutation in the form of recipient’s name or title: You may begin with ‘Dear Mr./Mrs.’ followed by the last name of the recipient.
  • Specify the reason and duration of leave: Clearly mention the reason for leave. If possible, state the starting and ending dates for the requested period of leave. Make sure you sound courteous and not demading. Keep the application short and precise.
  • Conclusion: End your leave application professionally with a phrase such as ‘Warm Regards’, ‘Yours Sincerely’, etc. followed by your name. Also include your job title and contact information.

What is a Leave Letter for Yesterday?

It is a leave application that is written after you have to take a leave. Usually, a leave letter is written before you take a leave. However, due to unforeseen circumstances such as a health crisis or a family emergency an employee or a student can take leave without informing.  This leave letter is submitted under such circumstances. 

The letter explains the reason for your absence. In the letter, the student/employee can request the concerned authority to consider the leave they took without prior notice.

Leave Letter for Yesterday: Format 

Below is the format for writing the application:

  • Date of the application: First of all, you can write the date of the application
  • Reciever’s address: Next, the student/ employee can write the receiver’s designation and address. For example, Managing Director, XYZ company.
  • Subject: Here write the reason for writing the application letter. That is, explain that you are writing the leave letter for the leave you took yesterday.
  • Salutation: Address the receiver with respect. For example,  Dear sir/ma’am. 
  • Main body: Explain the reason for your absence and the day you were on leave in the main body of the letter.
  • Sign off: Sign off by writing your name, designation, and contact number. Students can write their class and roll number.

Your office leave application should include the following points:

  • Date of Leave Application

This is the date on which you are writing the application. Ensure that the date of submission is not too far from the date of leave.

  • Recipient Name, Job Title, Address

Don’t skip recipient name, job title or their office/branch address . Check who has leave authorising power, their name and exact job title before you write your letter.

  • Subject of the Application

  • Mistakes to Avoid While Writing Office Leave Application
  • Skipping Salutations

Skipping salutations is bad form. Ensure that you address the recipient with Dear Mr/Ms. Starting the letter with the right salutations is a sign of respect.  

  • Error in Name/Job Title of Recipient

Check the name of the recipient and their job title. An error in their name shows your lack of professionalism. 

  • Error in Dates

Get the dates and days right . Not only is it unprofessional but also misleading. Errors in dates could lead to work allocation and scheduling problems.

  • Grammatical Errors

Grammatical errors are jarring and may cause annoyance to the recipient. Further, it shows your carelessness and may impact the approval of your letter.

  • Informal Language

Avoid using slang or informal language, as it is disrespectful and unprofessional. Don’t use words or phrases like “hiya”, “bye for now”, “see you later” or “ciao”. 

  • Lengthy/Wordy Letter

Keep the letter short. Long-winded letters distract from the core subject and eat into the recipient’s time. 

  • Over Explanation

It’s important to state accurate reasons for leave, for instance, sister’s wedding/wedding in the family. However, don’t go on to explain  wedding ceremonies or why you need to be there in great detail. 

  • Copy-Paste From Other’s Applications

Avoid copy-pasting from other applications as you may inadvertently mix up your reasons and theirs/your dates and theirs.
