How to update a PowerPoint slide while presenting

I need to find a way to update a powerpoint slide mid-presentation with images based on audience feedback (ie. audience votes for an image and then that image gets put on a slide later).

I'm concerned about the risk of editing in presentation mode and the editor inadvertently exiting the slideshow in the middle of the presentation.

Are there any add-ons etc. that can be used in PowerPoint to edit/modify a slide during mid presentation while preventing the risk of messing up the live presentation if possible?

Ideas thus far:

  • Using the LiveWeb plugin and an FTP site/Dropbox to point to an image and overwrite the image on the LiveWeb slide based on audience feedback (too complicated for the editors that will be doing this live)
  • Update presentation remotely while on a shared network (not sure if PPT will update this live.).
  • Update: As long as the presentation is using "Presenter View" and an extended monitor, you can navigate through the entire computer and edit any slide on the PowerPoint. Edited slides will show the updated content/images in the live presentation. Doing this, however, pauses the live presentation. So if the person presenting needs to go to the next slide or activate an animation while you are editing, it won't happen until the presentation is resumed. This seems like it will work as long as the presenter doesn't try to move to the next slide before the editor is done editing. Any add-ins that allow for simultaneos editing AND navigation of the presentation?

Has anyone ever done something like this before? What did you do to make it work in a live presentation?

  • Good luck. Even if there was some magic software that could do this, you'd have the problem where you'd basically be trying to work in a file that's already open. Unless somehow you could get it to link to some other file, I dunno. Somebody prove me wrong? –  MDT Guy Nov 26, 2013 at 22:21

In PowerPoint 2013, it is really very simple:

In Presenter View, click on Show Taskbar (upper left corner)

When taskbar opens at bottom of screen, click on PowerPoint tab,

In three views that are shown (Editor, Presenter and SlideShow), click on the Editor view.

If you want audience to see your changes as you make them, have same slide showing in all 3 views.

If you don't want audience to see changes until you are done, click the Black screen icon in Presenter View (Monitor with diagonal line across), before you start your change, OR change to a different slide in Presenter view.

Slideshow will show your changed slide on the big screen, when you go to it.

MDT is closer than he might think; I used to brief a stack of presentations some of which were being edited during the show. The key is to create the master presentation as a smooth interface to a collection of presentations. I used to get this done in Office 97; I'm sure it can be done now. If that suits your needs, static link to a volatile presentation (but with a stable filename) might be the thing.

  • @Ian, Yes, that's exactly it. For extra smoothness, I would open all of the child presentations first, then open the one that linked to them. That was not necessary however, it just avoided some wait time for opening things when the link was clicked. If you can accept that slight wait, then you can have somebody roll emergent changes into a separate linked presentation while the meeting is in session. Caution -- the other file MUST be closed and saved by the other user by the time you want to use it. Also, I believe SharePoint has some awesome magic for this sort of thing. This is really quite simple, especially since you say you want to change a slide that's not currently in view (which can get tricky due to bugs in some PPT versions).

Add this to a VBA module in your presentation. You'll have to save the presentation as PPTM or PPSM rather than PPTX/PPTX.

  • In this case, it just adds the picture directly, no placeholder as such. It wouldn't be hard to extend it a bit to name the picture once it's inserted, then before adding a new picture, delete the old. Have you ever thought about custom shows? Create a single PPT file with all the different combinations possible. As you click through the slides and select a picture hyperlink to a custom show that includes the correct picture. With a little thought and a tree to track all possible combinations, you can do what you want.

This is very old, but as someone who needed to be able to update future slides without interrupting the current show, I found that Powershow worked exactly how I needed it to work. The changes in 2013 are great, however, it does not allow the user to edit the show without affecting what the audience sees.

The dance school I work for uses slides and sometimes movies during our recital. There were a few times where I clicked a different slide and cut off the sound for the video displaying because it cut off the show. I did some research and found Powershow. It took a little getting used to, but is exactly what I needed.

I can do whatever I want, including update and rearrange, as well as delete upcoming slides, while the show displays in a different session in powerpoint.

Capture ideas in Keep, bring them to life in Slides

Synchronize changes while you are presenting

Hi, I’m Lishan Yu, a Program Manager on the PowerPoint team. I’m excited to share a new capability that will give you confidence you’re sharing the latest information when presenting.

For years, PowerPoint didn’t allow changes made to slides by others to be displayed while presenting. This ensured that the presenter was in full control of the content being shared. No one could revise slides, either accidentally or maliciously. It also ensured that all of your computer resources were used for slideshow rendering. A concern that is especially important if you are running on a low-end machine.

However, while some presenters may still desire this original design, we’ve heard from others that they are seeking more flexibility. With an increased focus on collaboration and real-time updates, we’re excited to make available the ability to synchronize changes whenever they are made, even when the presentation is in Slide Show mode.

How it works

You can synchronize changes in two ways: automatically or manually.

Automatically update slide content

 1. Select the  Keep Slide Updated  check box on the  Slide Show  tab on the ribbon.

 3. Whenever an update to a slide is made and detected, the content is automatically updated and visible in the slide show being presented.

Manually update slide content

 1. Clear the  Keep Slide Updated  check box on the  Slide Show  tab on the ribbon.

Synchronize changes

2. Start the presentation by selecting the appropriate button on the  Slide Show  tab.

3. Whenever an update to a slide is made and detected, an  Update Slides  button appears at the top of Presenter View.

4. Click the  Update Slides  button to manually synchronize the slide content.

Scenarios to try

  • During a slide show with multiple presenters, fix a typo or make couple edits to your slides while others are presenting.
  • When you are driving a collaborative meeting, ask your audience to add their questions directly on your Q&A slide, and have a more open, engaging, and interactive presentation.

Availability

This feature is available to presenters running Insider Fast builds on Windows and Mac.

  • Windows: Version 2004 Build 16.0.12728.20000 or later.
  • Mac: Version 16.35 Build 20022603 or later. Mac presenters can only manually update slide content at the moment. Stay tuned for when auto-update is available.

Your presentation must be stored in OneDrive for Business or SharePoint to use this feature.

We typically release features over some time to ensure that things are working smoothly. This is true for Insiders as well. We highlight features that you may not have because they’re slowly releasing to larger numbers of Insiders. Sometimes we remove elements to further improve them based on your feedback. This article explains how to update PowerPoint and upgrade to the latest version. Instructions apply to PowerPoint 2021, 2019, 2016, 2013, and Microsoft Office/Microsoft 365 .

How Can I Update My PowerPoint for Free?

No matter which version of PowerPoint you have, Microsoft has probably released a few updates since you installed it. If you have Microsoft 365, PowerPoint should install updates automatically by default as long as you're online, but you can also manually check for updates:

Open a new slide and select the File tab.

On Mac, go to Help > Check for Updates . You can also go to the App Store and look under Updates to see if PowerPoint updates are available.

Select Account .

In older versions of PowerPoint, select Help .

Select Update Options > Update Now or Check for Updates (depending on your version).

After PowerPoint installs updates, you'll have the option to enable automatic updates (if it's not already enabled).

Mac users can download the Microsoft AutoUpdate tool to keep all their Office apps up to date. You can also refresh Microsoft apps by running Windows Update .

How Do I Download the Latest Version of PowerPoint?

If you want to upgrade to a newer version of PowerPoint, you must purchase PowerPoint from Microsoft or subscribe to Microsoft 365 . You can also buy Office 2021 from Microsoft if you want Word, Excel, Outlook, and PowerPoint all in one package.

A Microsoft 365 subscription gives you access to all Office apps (Word, Excel, Outlook, etc.) for an annual fee. You can use the latest version of PowerPoint and try new features as they get released. The downside is you have to renew your subscription every year.

With the standalone version of PowerPoint, you'll still get occasional updates, but you may miss out on the newest features. The upside is you own the software, so you never need to renew the license. Either way, Microsoft offers free trials and discounts for students.

To see which version of PowerPoint you have, go to File > Account > About PowerPoint .

Microsoft occasionally releases patches to address bugs and make PowerPoint more reliable. These updates are usually minor, but they are still essential to keep PowerPoint functioning properly. Wherever you're having problems with PowerPoint , updating the program could resolve the issue.

Microsoft no longer releases updates for older versions of PowerPoint, so if you're still using a discontinued version like PowerPoint 2010, you should consider upgrading. More recent editions of the program, like PowerPoint 2021, feature tools and effects you won't find in outdated versions.

If you have a slide made in an older version of PowerPoint, you can open it in a newer version and take advantage of the latest tools and features.

If you want to update  link data in PowerPoint , choose the link update option if you see it when opening a PowerPoint file or open the source document to update the links. If you need to update a link source to a new file, select  File  >  Info  >  Related Documents  >  Edit Links to Files  to open the  Links  dialog box. From there, choose  Change Source  > go to the new file >  Open  >  Update Now .

To automatically update  Excel charts added to PowerPoint , go to  File  >  Info  >  Related Documents  >  Edit Links to Files  > and highlight the file you want to update automatically. At the bottom of the  Links  dialog box, check the box beside  Automatic Update .

How to change an entire presentation's formatting in powerpoint.

You don't need to change a PowerPoint presentation's formatting one slide at a time. You can do it all at once in the Master View. Here's how to use this time-saving feature.

If you’re wanting to reuse a PowerPoint presentation but would like to clear the slideshow's formatting, there’s no need to do it slide by slide---you can do it all at once. Here’s how.

First, open the PowerPoint presentation with the formatting you want to edit. To illustrate the before and after, here’s what we’ll be working with in this example.

Looking even closer, here are the formats our current slideshow is using:

  • Colors: Gallery
  • Headings: Gill Sans MT
  • Body: Gill Sans MT
  • Effects: Gallery
  • Background Style: Style 10
  • Background Graphics: Wooden Flooring

Once you’re ready to reformat, select the “ Slide Master ” option in the “Master Views” group of the “View” tab.

The first child slide is selected by default. Be sure to choose the parent slide above it, or the changes won’t take place for every slide.

If you want to assign a new theme to the presentation, you can do that here. Select “Themes” from the “Edit Theme” group and choose your desired theme from the drop-down menu.

Each theme comes with its own unique set of fonts, colors, effects, and so on---and there's certainly no shortage of items to choose from. If you want to stick with your current theme but change some of the individual formatting options, you can do so with the options available in the “Background” group.

Here are the different options available for reformatting:

  • Colors: Changes all the colors used in your presentation, as well as the color options available in the color picker.
  • Fonts: Changes all the headings and body fonts used in the presentation.
  • Effects: Changes the appearance (shading, border, etc.) of objects in your presentation.
  • Background Styles: Choose the background style for the selected theme.
  • Hide Background Graphics: Hide (or unhide) background graphics that come with a theme. This can only be used on each slide type in the Master view.

To make changes, select the option from the menu and choose your desired change from the menu that opens. For example, if we wanted to change our colors from “Gallery” to “Green Yellow,” we’d select “Colors” from the “Background Group” and then choose “Green Yellow” from the drop-down menu.

Repeat these steps for whichever options you’d like to change. We’ll make the following changes to our slideshow in this example:

  • Colors: Green Yellow
  • Headings: Calibri
  • Body: Calibri
  • Effects: Glossy
  • Background Styles: Style 10
  • Hide Background Graphics: Title Slide only

Once you’ve made the desired changes, select the “Close Master View” button in the “Close” group.

  • Open the Slides home screen at Google Slides .

Import and convert an existing presentation

Converting your file from another program creates a copy of your original file in a Docs, Sheets, or Slides format. You can then edit the file in your browser.

If you have existing files, you can import and convert them to Docs, Sheets, or Slides.

  • Go to Drive .

  • Choose the file you want to import from your computer to add it to Drive.

Choose a theme and layout.

When you first create a presentation, you can choose a theme for your slides. A theme is a preset group of colors, fonts, background, and layouts. Your presentation's layout is the way your text and images are arranged on a slide.

  • On the right, click the theme you want.

  • Select a slide.
  • At the top, click Layout .
  • Choose the layout you want to use.

Arrange slides

Move slide —Drag the slide to a different position in the presentation. To move several slides at once, Ctrl+click  multiple slides before dragging them.

Delete slide —Right-click the slide and select Delete .

Duplicate slide —Right-click the slide in the sidebar and select Duplicate slide .

Add pictures, text, speaker notes, and more

Rename your presentation —Click Untitled presentation and enter a new name.

Add videos, shapes, charts, and more —Click Insert to add videos, shapes, charts, slide numbers, and other features to your presentation. You can also move, delete, or re-size these inserted features.

Add speaker notes —Use speaker notes to keep track of your talking points for each slide. In the presentation editor, speaker notes appear beneath the current slide. When you present your slides, your speaker notes show in a separate window.

Clicking Insert, Video opens window with Search, By URL, and Google Drive tabs. YouTube field and Select option also appear.

13 Tips To Deliver A Great Presentation For Project Status Update

Giving a presentation could be one of the most nerve-wracking tasks ever.  No matter how well-prepared you are, having to present to your boss or to a meeting is always stressful. If you somehow get it right though, one 5-minute presentation could be enough to make you ‘the man’ in the room.

Presentation skills are becoming more and more important in today’s world, especially with the rapid developments in technology. You may need to give briefings to the directors, suppliers, a team leader, or to your organization as a whole. Presentations provide the means to help stakeholders understand the company’s ongoing projects.  In a prospering career, there’s no way to avoid giving them forever. Hence, we’ve gathered 13 of the most important points to keep in mind before your next presentation. 

1. Arrive Early

A presentation is useless without functional supporting equipment. Gone are the days of giving presentations through flipping over paper charts; technology has taken over. Due to this, it’s always advisable to arrive early! Make sure you have enough time to test out everything. Check and ensure that everything has been arranged and placed where you want it. You’ll need a perfectly functioning mic, laptop (for the PowerPoint file), projector and remote. Checking it all yourself also has an added benefit of inspiring confidence within you; sending messages to your mind that you’re all set and ready.

People with stage fright could also make great use of arriving at the venue earlier. Just the thought of getting up to a stage in front of hundreds of people, and being flooded in lights, could absolutely petrify some people. You could help this situation by getting up to the stage a few times before the actual presentation so that you create a comfort zone around it. If you arrive early, you’ll get a chance to hold the mic, climb up that stage and greet the non-existent crowd to gain familiarity beforehand. Remember, familiarity is a direct counter to nervousness.

2. Plan Your Presentation

An effective presentation is well-structured and designed carefully from start to finish. The goal is to fit chunks of easily digestible knowledge in a concise manner. The entire presentation must have a ‘flow’ that connects one dot to another naturally, as this makes it much easier for the recipients to comprehend and understand information. A preemptively thought-out structure would also help you address every point without forgetting anything in between. Achieving all of this only becomes possible only through precisely planning out vital aspects of your presentation.

From a broader perspective, the following is an example of what most presentation structures look like;

  • Introduction – Make recipients aware of the context and put forward your ideas. Urge your audience to get involved and start thinking about the subject you have in mind.
  • Body – Draft a few effective steps that work well towards achieving the ‘ideas’ discussed above.  Communicate these to the audience and address any challenges to be faced with proposed solutions.
  • Summary – Signify the crux of your entire presentation to the audience. Reiterate the main concept of your presentation and the steps needed to work towards it.

Make sure the structure you end up finalizing isn’t too complex. Put yourself in a recipient’s shoes and deeply analyze the parts of the presentation that could be improved.

3. Practice The Presentation

Giving a presentation brings a unique set of fears, and we’ve all thought about them just before it starts. However, the way you plan out and do things ahead of time could literally change the entire game. As a starting point, identify which thoughts scare you the most about the presentation. Really question yourself what it is you can do to eliminate these fears? Amazingly, you’ll find that there’s a common one-word answer to this question for most of your presentation related worries; practice. For example, your mind may be imagining scenarios like these;

  • “What if I stutter and just can’t get the words out properly?”
  • “What if I forget where I’m getting at?”
  • “What if a certain question totally throws me off?”

To address these issues, give yourself time to walk through the entire thing several times. Talk the whole presentation out and get super familiar with the delivery. Actively consider the tone of your voice, your speed and other parts that you may want to work on.

Way too many presentations fail to hit home simply because of a lack of practice on the presenter’s end. You could have the most informative and immersive presentation planned out, but it could all be in vain without practice. Just because you’ve done your research, created an outline, and prepared all your slides, doesn’t mean you’re foolproof. Practice, practice, and practice! Even if you know  how to write a TED Talk script  perfectly, without ample practice, the potential impact of your presentation might still fall short. Remember, having a well-crafted script is just one aspect; the true effectiveness lies in rigorous practice and delivery.

4. Prepare For Any Questions In Advance And Standby Backup Slides

You must expect various questions during or at the end of your presentation.

In fact, rising questions will help you gauge your audience’s concentration

Before the presentation:

  • List all possible questions and practice how to answer them. You want to consider practicing the toughest questions possible.
  • You may also gather all the stakeholder’s questions beforehand and include the right feedbacks in your presentation. More so, if you’re presenting to large room or remotely based audience.
  • Prepare your own staged question. Entice your audience by picking an individual with a predetermined question, to encourage other stakeholders to present their questions.

Prepare backup slides:

When structuring your PowerPoint slides, you’ll have your opening slide, in-between, final, then summary. It’s advisable to add back up slides below the summary slide.

Things to include in your slide;

  • Those unreadable graphs or charts in small print.
  • The presentation is unrelated to other slides.
  • You’ll stretch your short presentation further.
  • Display those graphs that wouldn’t fit in your main presentation.

Most importantly,

  • you’ll have impressed your viewers who will notice your shear effort on what you are saying.

5. Interact With The Audience

Don’t let your audience get bored.

  • Ask them questions and listen to theirs too.
  • Laughter is the best medicine. Make your presentation appropriately hilarious. You could open the presentation with funny notation. Connect with audience.
  • Share your slides with the audience- allow them to save it on their devices during the presentation.
  • Connect with their emotions. Use videos or short clips to drive your points.

It is important to engage your audience as they will keep focusing on your presentation and enjoy the presentation from start to the end. Remember your focus is the audience so whatever presentation you do should be gear towards attracting the attention of the audience at large.

6. Control The Meeting Flow And Show You Are Well Prepared

You need to know what you’re saying, don’t just follow the slides. Moreover, take control of the meeting. Set;

This will enable you to control every aspect of the meeting  and ensure that you deliver the best presentation to your audience.

7. Present Project Status With Facts and Figures

Spent time on project status

Show a chart of each project phase in the percentage of each project phase on a milestone.

You could present a table of the milestone with;

  • Planned dates.
  • Actual completion
  • Percentage Progress.
  • Tasks remaining to complete the milestone and specific members assigned the task.

You’ll have to convey a bar graph with a cost variable on the y-axis.

  • Actual cost
  • Planned cost
  • Budgeted cost

Use a different color for different variables bars.

Work Schedule

Show the percentage completed, to know the exact progress of the project.

Present a graph of created versus completed tasks.

Chart representation of tasks completed, not started and on-going.

Show the workload completed, remaining and overdue.

8. Present Project Issues And Risks With Detailed Explanations And Proposed Recommendation

There are Predetermined risks and unexpected risks.

Present your heading

  • Have a heading for every risk or issue.

Subheadings

  • Give a detailed update on early and newly identified issues/risks.
  • Present bullet lists or tables:
  • Talk of the project risks and issue elements under the subheadings.
  • Tell the audience how you’ve agreed to deal with the issues.

Give a short update on the way forward

  • Any recommendation on the project must be approved by everyone.
  • Present your approved possible action or any request for change.

9. Make Eye Contact

A conversational technique of presenting works wonders to keep the recipients immersed. The more you interact with the people you’re talking to, the more they’ll want to listen to your words. Many successful presenters like to incorporate a Q &A style to allow the audience to personally clear out their queries.

Luckily though, interaction isn’t just achieved through words. Even by looking straight at a certain person for a few moments, you’d have grabbed his attention for at least the next fifteen seconds. As you’re speaking your mind in a presentation, make confident and direct eye contact different from people. Surveys suggest that 3 to 5 seconds is the most appropriate span for these glances to work effectively. Directly seeing your audience nod to your ideas is a confidence booster in itself! Build this habit, you’ll make leaps of progress just by this little improvement.     

10. Use Visuals

If used effectively, visuals could literally increase the impact of your presentation tenfold. A book could be written about this section and it still wouldn’t do justice to the importance of visual aids. A presentation isn’t just mean because of the words you choose. Your recipients aren’t going to remember and retain all of it anyway. However, their pictorial memory (visual recognition) enables them to retain much of what they see, rather than what they hear.

Using visual aid as a support to your speech, your message could travel way further! Be careful though, misuse of visual aids could actually work against you too, e.g. forgetting to switch slides while you move on to the next point, or an over-filled slide. Some commonly used visual aids include flip charts (slightly outdated), whiteboards, the use of projectors and sliders, or some props! One of the most effective ways to create interesting and informative presentations is by using ready-to-use PowerPoint templates.

The catchier your presentation is, the easier will it be for listeners to digest the information. Visuals help a great deal in making a presentation more interesting, leading to a better comprehension of your words.

Stronger Retention

Surveys and studies suggest that humans only retain 10% through their auditory recognition (listening), as compared to a 66% retention rate of visual recognition. If a presenter considers information retention to be vital, visual aids are a must.

Supports the Presenter

Through the use of visual aids, you’re basically protected against the possibility of forgetting stuff. Visuals create a sequential flow of the presentation, and the speaker could refer to them at any time. If you suffer from nervousness, a visual aid may prove to be a reliable friend!

11. Keep Your Slides Simple

As mentioned above, a cluttered slide could actually play an adverse role in your presentation. Instead of improving the presentation, it might drive the attention of the audience away from the speaker. You never want your audience to be too busy working out all the arrows and jumbled up words in your slide. They wouldn’t be listening to you while they figure that mess out. Instead, split the information over more slides to display them and talk over them peacefully.

In presentations, it’s the little things that count. Even the choice of colors in some slides could throw off a few particular recipients, so it’s best to exercise simplicity when it comes to slides. After all, the slides are there to supplement what you’ve got to say, instead of the other way around.

12. Use Stories And Analogies

Understandably, drowning anyone in stats and numbers is the quickest way to lose their interest. No one comes to the presentation excited to hear about statistical data, right? Alternatively, the use of stories has proven to be incredibly effective as a means to gain the audience’s complete attention. We naturally look to relate ourselves to a story someone tells, and there’s an intrinsic desire to know what happens next. This constitutes a strong, impeccable focus.

Apart from this, it works wonders for the retention rate as well. We’ve discussed the importance of this factor above, and many presenters would love for their message to be retained by listeners. Stories help us create a context to the underlying message, and we associate characters along with it. This helps us recall information in a much more effective manner. Remember those childhood stories that had a moral at the end? Of course, you do, that’s the power of stories.

13. Provide A Copy Of Your Presentation

At the end of your presentation, you could always announce that copies containing key points would be handed out to recipients. This helps the interested parties refer to it later on when they need to recall a certain point. Anything that aids their memory for remembering the crux of the presentation is a win-win for the presenter, so why not?

Linking slides to keep them in sync/automatic updates

Dear community,

Is it possible to keep two PowerPoint slides in sync so that if I update one, the other one is updated automatically? Does this work at least if the two slides are in the same presentation? In the best case, this would also work for slides in two different presentations (which are both in OneDrive). For GoogleSlides this works.

thank you for your reply. I have voted on this suggestion in the user voice forum. Could you explain to me how I could link two slides in the Desktop Version of PowerPoint? 

Here are the steps:

  • In the source presentation, copy the slide to be used in the destination deck.
  • Switch to the destination and create a blank slide.
  • Choose Home>Paste>Paste Special .
  • Select Paste link , then click on OK .
  • Resize the linked slide to the full size of the page.

Save the destination presentation. When you re-open it, PowerPoint will ask whether you want to update the links. If you open the source before updating, the update will run more quickly.

Insert or change the slide numbers, date, or footer for on-screen slides

In PowerPoint you can add or remove automatic slide numbers, hide numbering on the title slide, and move slide numbers. You can also add the date and time to slides.

If you'd like to suggest improvements to the slide numbering feature, you can do that by clicking Help > Feedback > I have a suggestion .

Select a heading below to open it and see the detailed instructions.

Add slide numbers to your presentation

On the Insert tab, select Slide Number .

On the Slide tab, check the Slide number box.

If you don't want a number to appear on the title slide, also check the Don’t show on title slide box.

Select Apply to All .

The theme applied to your presentation has a standard location for where the numbers appear on your slides, as illustrated by the two themes picture below. To change that location, see "Change where the page numbers appear on your slides" below.

Remove slide numbers from your presentation

On the Slide tab, clear the box named Slide number .

Hide slide numbers on the title slide

On the Slide tab, check the Don’t show on title slide box.

Click Apply to All .

Re-position the slide numbers

On the View tab, select Slide Master .

At the top of the thumbnail pane, select the Slide Master thumbnail.

In the Slide pane, select and hold the page number placeholder until you see the four-headed arrow, and drag it to a new location.

When you're finished, select Close Master View .

Start your slide numbering with a specific number

On the Design tab, select Slide Size , and then Custom Slide Size .

On the Design tab of the Ribbon, select Slide Size and then select Custom Slide Size.

Under Number slides from , click the up or down arrow to switch to the number that you want to start from:

Add the date and time

On the View tab, in the Presentation Views group, click Normal .

On the left of your screen, in the pane that contains the slide thumbnails, click the first slide thumbnail in your presentation.

On the Insert tab, in the Text group, click Date & Time .

The Header and Footer dialog box opens.

On the Slide tab, select the Date and time check box, and then choose the kind of date you want:

If you want the date and time to reflect the current date and time each time you open or print the presentation, click Update automatically , and then select the date and time format that you want.

If you want to set the date and time to a specific date, click Fixed , and then, in the Fixed box, type the date that you want.

By setting the date on your presentation so that it is Fixed , you can easily keep track of the last time you made changes to it.

If you want to add the date and time to all of the slides in your presentation, click Apply to All .

Add text to the footer

On the Insert tab, select Header & Footer .

On the Slide tab, check the Footer box.

In the box below Footer , type the text that you want, such "Company Confidential".

To prevent the footer from appearing on the title slide, check the Don't show on title slide box.

Select Apply to All to make the footer appear on all slides, or select Apply to make it appear on just the currently selected slide.

Delete a footer

On the Slide tab, clear the Footer box.

Select Apply to All to remove the footer from all slides in the presentation. Otherwise, select Apply to only remove the footer from the currently selected slide.

Select Slide Number , then enter the starting slide number. Preview shows the location.

To add or remove the slide number from just the title page, clear or select Don’t show on title slide .

Select Apply to all or Apply .

Insert the date and time in a footer

Select Date and time , then select either Update automatically or Fixed . If you choose Fixed , enter the date in the format that you want. If you choose Update automatically, PowerPoint enters the current date, and you select the date format you want from the dropdown list. 

On the Insert tab, select  Footer > Slide Number .

In the Footer pane, select the Slide Number box.

If you want to avoid having a slide number on the title slide, select Don't show on title slide .

If you want to include additional "footer" text on your slides, select Footer , then enter the info you want in the text box.

Close the Footer pane. 

Add a footer to your presentation

On the Insert tab, select  Footer > Footer .

In the Footer pane, select the Footer  box.

Enter info you want in the text box. For example, you could enter a data or a file name.
