I made this out of frustration because of a lack of good design elements for my undergraduate capstone poster, and decided to make something better.

Capstone Poster Tips

In this video, I will go over some capstone tips that I wish I knew and I hope will help you when designing your capstone poster for occupational therapy. These tips will help to save you time, money, and most importantly – stress, as we all know capstone can be a fun and rewarding, but also a stressful project as part of your occupational therapy education.

My first tip, which you all probably know or thought about, but may have forgotten about – is to use each team member’s strengths. If one person is good at designing, then they should probably do the designing. If someone is a good writer, then they should probably write out the bulk of the content. Someone else will need to do the editing. And someone else may need to do the coordinating and managing. This of course depends on your group size and if it is small, you may have to take on multiple roles. So remembering each of your own strengths will help a lot and make your capstone poster shine.

Another popular question is what to use. We opted to use Microsoft PowerPoint actually because everyone was familiar with how to use it, it is well established and predictable in how the layout will look, and it is relatively easy to collaborate. You may use Google Slides as well, which is even easier to collaborate. When it comes time to print, you can save the file as a PDF to “flatten” the image for the printer. We chose PowerPoint because google slides can be buggy and it difficult to work with at times. One option is to do most of your work in google slides, such as earlier drafts, and then converting it over to PowerPoint. Other websites are becoming more popular as well such as Canva.com, and I think in time, they will get better and easier to use. Pick what works best for you and ask for input from your professor.

When you start designing your poster, it is important to get the dimensions correct. Check with your local print shop or where you want your poster printed for the exact dimensions of the poster, then create your project file with the same dimensions.

Let’s talk about images. This is often the part where students have trouble. 1 is finding the images that are good enough quality. I would stay away from things like google images because they often are low quality and 2 it may be copyrighted so you won’t have the rights to reprint the image for your own use. So you have 2 options – 1 to take the photo yourself or ask from your research partners. For example, our capstone group asked the association we were partnered with while doing or research for photos of clients that they were permitted to take and pass on to us.

The 2nd option is to use stock images. Oftentimes, stock images can be expensive, but websites like Pexels and Unsplash offer stock images for free. I’ll post a link to them in the description. Sometimes, all you need to do is credit the photographer in your work. The most important thing to do is use images that are as large resolution as possible and then sizing them down to fit in the poster. Never scale the images up or enlarge them digitally. To get a good idea of image quality, a good file size should be in the megabytes, like 1 to even up to like 20 megabytes, not kilobytes. If you open the image up at 100%, it should take up your whole screen or be even larger than it. This will ensure that when it comes time to print, the images don’t look blurry or pixelated – which can make or break a capstone poster.

My next tip is font size. Use a good legible font size, even something like 12 may be too small. Definitely, don’t go smaller than this unless it’s for something that does not matter like credits or copyright information or references. Be sure the text is legible so it should have good contrast. If it is a light background, use dark like black text. If using a dark background, use the opposite like white or light-colored text.

Use an easy-to-read font and not handwritten or cursive ones as this can be hard for readers. Try not to mix or use multiple fonts as this can be distracting. Limit it to say, 2 fonts. Make use of italics, bolding, underline, and bullet points with the font to make it look nice and organized. Remember to use graphics to tell your research story and not put too much text. If you have to use a lot of text, consider spacing them up with line breaks, shorter sentences, and mixing in graphics so it does not look like a page out of a novel.

Of course, check your spelling, but more importantly – punctuation. For example, if you use bullet points, do you end them with periods, and some without? It should be consistent throughout.

Another tip is to be careful of using too many graphs, just because you have a lot of data. Posters that have too many graphs can be confusing and give the reader information overload. Consider which graphs are absolutely necessary and how you can mix up your poster with other graphics instead of graphs. This depends on your research of course, and if it is qualitative, quantitative, or mixed.

Make sure everything is spaced evenly, such as centered both left and right and top and bottom.

My last tip is to create different layouts and ask for input from different students, family members, and friends. A layout may look good to your group, but it may have too many or too little colors, be difficult to follow, or could be laid out better. Remember to save each draft as a separate file so you can always go back to an earlier revision if you change or mind or if you mess something up.

Research Posters 101

Do you need to create a poster for an academic conference, symposium, or senior capstone project? A well-crafted research poster is essentially a roadmap of your project, and this type of presentation, as opposed to an oral presentation, allows you to personally interact with people who are interested in your research topic.

There are a few things to consider before you get started!

What are the specific size requirements for the poster?

For SSU’s Week of Research & Creativity poster presentations, the standard size is 36” H by 48” W, but if you are presenting a poster outside of SSU, the first thing you should do is check with the conference organizers to determine their specific requirements.

The Powerpoint Poster Template below is already formatted to 36” H by 48” W and includes information on what should appear in the various sections of your poster.

If you prefer Google, use the Google Slides Research Poster Template , which has already been formatted to 36" H by 48" W. When you open this file, click File>Make a Copy to create an editable version. Note: To set your poster size in Google Slides, click on File>Page Setup and select the down arrow to select “Custom” and enter the required dimensions.

What computer program is used to create a research poster?

Most research posters are created on a single Powerpoint slide, and you can also use Google Slides, which can be especially helpful if you’re working on a group project. Of course you can use some of the more advanced programs such as Adobe Illustrator; however, use of these programs often result in a file size that is too large to email, so if you need to email your final draft, it’s best to stick with PowerPoint or Google Slides.

What information is included in a research poster?

Some of the most common headings for a research poster include:

  • Background or Introduction
  • Research Question and/or Hypothesis
  • Methods and Materials
  • Future Directions
  • Acknowledgements  

Please keep in mind that there are many different heading options for the content of your poster. You should choose the headings that best fit your specific project.

What about fonts and images on a research poster?

  • Font: Your poster should be readable from 5-7 feet away. On the poster template linked above, note that the title font is 96 pt., the headers are 70 pt. font, and the body text is 52 pt. One way to test your font size is to print a sample on standard copy paper. If you are having a difficult time reading the text in this format, your font is probably too small. Generally speaking, you should use the same text throughout.
  • Text boxes: For balance, be sure to use text boxes that are uniform in height and width. Instead of passages of text, it’s best to use concise bullet points.
  • Images: Images, graphs and tables are a great way to make you poster more visually appealing. Image resolution should be approximately 300 dpi in order to avoid a pixelated final product. If you don’t have images, graphs, and tables that are directly connected to your research project, you can use thoughtfully chosen thematic images that complement your topic.

Some Other Things to Consider when Designing Your Poster:

  • Be sure to leave sufficient “white space” on your poster. This helps the reader to “move” through you poster more easily. 
  • Don’t forget to use titles or informative phrases with graphs and tables.
  • Resize images from the corner while holding down the shift key. This will scale your image proportionally.
  • Printing: After you’ve proofread your poster several times, save it as a PDF. This will ensure that the formatting stays intact.

6 Tips for Engaging Capstone Projects

Rather than creating a year-in-review capstone project, consider having students synthesize and personalize what they’ve learned, bringing it to a new level.

A group of young students are standing in a line on dead grass. It's overcast. There are bare-branched trees and a river nearby. They're holding black and green tablets. Their male teacher is holding antlers, letting the students take turns touching it.

It’s that time of the year, the race to the finish, only weeks until school ends for the summer (at least for many of us). With the pressures of testing behind us, we often have a bit more freedom to create curriculum and activities for students. We can try out new ideas, give students more choice in what they want to learn, and celebrate the learning that we've accomplished this year. One way that many educators like to do these things is through capstone projects, year-end culminations that often invite students to engage in choosing what they want to learn, as well as how they learn it. Capstone projects are a great tool for personalizing learning, and they're effective for creating even more student engagement. Here are some tips to create excellent capstone projects.

Ensure "Main Course, Not Dessert"

This is always a good reminder. While capstone projects often draw on the entire year's learning, it's important to pose this question to students as well as reflecting upon it ourselves as educators: What new learning will occur in this capstone project? This is key to ensuring that a capstone project isn't simply a fun activity (although that's still a good intention), and it helps in creating a project that's more challenging and truly focused on new learning and experiences. This new learning could be in a different context or topic from what the class has done so far, it might require a variety of skills that they haven't previously combined, or it could be a synthesis of sorts. Reflect on how you can ensure that there will be new learning in your capstone projects.

Take It To Another Level

Projects should focus on depth, not breadth. If you have the ability to allow students choice in what they learn, consider having them revisit a previously learned concept, topic, or skill. To ensure not only engagement but also "Main Course," create rubrics with students that focus on their going deeper into the content. Instead of "meeting standard," focus the assessment and learning on "exceeding standard." When students engage with a challenge, we should take them beyond the opportunity to review learning by pushing the learning even farther in a capstone project.

More Voice and Choice

This is nothing new, but we can always think of new ways to offer choice to our students. At the end of the year, after we've pressed through most of our required curriculum and standards, we may have some wiggle room on what students can learn. We might offer choice in one way, but not in another. Perhaps we want to spiral review a writing skill for all students, but offer them a choice in what history topic they want to learn about. Or we might need students to learn a math concept that we haven't yet covered in the curriculum, but they can choose how they want to learn it and connect that concept to the real world. Have students make personal, meaningful choices. See my previous blog about voice and choice for ideas about how to create more engagement.

Make a Difference

One of my favorite ways of taking capstone projects to another level is through service and making a difference. When students see that their work matters, they will be engaged. There are, of course, lots of opportunities to make an impact outside of the walls of the classroom, whether in the community or globally. There are also great ways for students to make a difference in their own lives once they understand the personal impact that's possible. Start by asking then how they want to make a difference in their capstone projects.

Tell the Full Story Through Assessment

Often, capstone projects involve what could be called a portfolio of student learning, which includes many steps in their yearlong journey. These assessments, graded or not, are valuable artifacts that serve as a photo album of a learning continuum, rather than simple snapshots representing individual moments of learning. Capstone projects are about growth, and both teachers and students can use assessments from the capstone project as well as earlier in the year to celebrate the growth in learning. Students, parents, and teachers deserve to see this growth in order to be proud of their learning from the entire year as well as during the capstone project.

Experiment With "No Grades"

Often we use grades as a way to get students to learn rather than addressing a root problem -- our students are not engaged. While you might want to grade students on their work, you might also try the experiment of moving students away from grades as a motivator, and instead focus on the learning. Rather grading every part of the capstone project, consider grading only the capstone component. This is also in ideal place to start the conversation with students about how they want to be and should be graded. Consider using capstone projects to start a culture shift away from grades and toward learning.

I love implementing and watching students implement capstone projects. I'm inspired by the ways that teachers structure these projects and by the amazing learning that students share. Capstone projects are truly an opportunity to create meaningful learning along with powerful engagement and impact. How do you create engaging capstone projects?

Creating conference posters: Structure, form and content

This article aims to provide an overview of the form, structure and content of conference posters for researchers who intend to submit an academic poster to a conference. It focuses in particular on the design and layout of academic conference posters, making some suggestions for possible poster layouts. It also provides information about factors influencing conference selection. Finally, it summarises some top tips to be considered when creating a conference poster such as font selection and use of images.

Introduction and aims

This article provides an overview of the process of designing and creating academic posters. It will discuss tools and resources that will be of use to researchers who intend to submit an academic poster to a conference.

Academic conference posters are a method of communicating academic research succinctly ( Gopal et al 2017 ). Posters give the opportunity to present the author’s work in an attractive way. They can be created for a number of reasons, including communicating the progress that a research project is making, to look for collaborators for future research projects, as an alternative to a traditional conference presentation, as an effective entry to the development of professional presentations ( Durkin 2011 ) or to further a career. Creating a poster provides the author with a pleasing visual record of their research, which can be displayed publicly after the conference. Academic posters are also created in order to increase a researcher’s impact in a particular field of research, which may open up future research and employment opportunities.

The audience for a conference poster will depend on the nature of the conference. Many organisations hold their own internal conferences that communicate the results of projects that have been undertaken within departments, or to promote best practice. The audience at an academic conference will be researchers, academics, students and professionals who want to keep up to date with the latest research or who are looking for potential research collaborators. Sometimes scientists will be asked to present their research to members of the public in a poster. The content and presentation of the poster will need to be adapted to suit the intended audience. This article focuses on the design of academic conference posters in order to meet these needs.

Conference selection

When selecting a conference at which to present a poster, there are several factors which should be considered by the author. For example, researchers should consider which conference has the most relevant subject coverage. This may be a conference which the author has previously attended, one that is promoted by a colleague, or one that is advertised in a journal or mailing list. Lang et al (2019) identified five factors that students and practitioners should consider when selecting a conference to attend. These factors are:

  • The conference is targeted towards specific areas of interest
  • There are opportunities for networking
  • There are well-known and respected plenary speakers
  • There is an opportunity to present
  • The conference has been recommended by others or has been attended by the author previously.

Another factor which will influence conference selection is cost. In order to obtain funding from an employer or external funding organisation, it may be necessary to demonstrate how presenting at a conference will benefit the author and their organisation ( Gray 2020 ).

Poster layout

The main purpose of creating an academic poster is the ability to communicate information in a concise and visually pleasing way ( Gundogan et al 2016 , Rowe & Ilic 2011 ). In order to present information as clearly as possible, a conference poster can have a similar structure to a research paper – but it will need to have a much smaller word count. This means initial planning to ensure the relevant information is conveyed within the poster using the words available.

Before beginning to design and create an academic poster, the requirements of the conference should be clearly understood by the author. These requirements include the orientation of the poster: is it landscape or portrait? Does the conference specify which fonts must be used and what size? How long can the title be? If submission guidelines are not followed, it may lead to a conference poster submission being rejected ( Berg & Hicks 2017 ).

Once the requirements have been read and understood, it is time to begin the design process. It is helpful to sketch a poster on paper first before creating it on a computer. The poster can be designed using boxes to represent the different sections, and the content can be added later. There should be a clear flow from section to section on a poster to make it as easy to read and follow as possible. Poster colour schemes should be carefully selected, keeping to only two or three colours. Red and green colour combinations should be avoided, as people with colour blindness will find this combination difficult to read. Colour can be used to emphasize the poster’s primary focus – for example red to associate a poster with heart disease ( Christenbery & Latham 2013 ).

In order to make a poster attractive and easy to comprehend, around 30 to 40% should be empty space, for example between each section of the poster. There should be 40 to 50% of the space taken up with graphics, and 20 to 25% should contain text ( Baker 2012 ). If a poster contains too much text and too many graphics, it makes it much harder to read.

For an alternative design idea, see resources that Morrison has created ( Morrison 2019 ). This alternative poster design was developed in order to make it much easier for a poster’s audience to understand the main finding that the author is communicating. In this design, all the important information is included but is not the main emphasis of the poster. It also incorporates the use of a QR code where the poster and supplementary material can be downloaded.

A key part of any academic poster is its title. The title of an academic poster is the part that is going to grab people’s attention and encourage them to read the poster. It is therefore vital that it clearly describes the topic of the poster and is short and catchy ( Siedlecki 2017 ). It should be the largest font size on a poster.

The author of an academic poster should be clearly displayed on the poster along with the author’s job title and contact details. This will allow anyone with questions to follow-up once the conference is over. In their study, Gopal et al (2017) found that only 41% of the posters they assessed included contact details either email or postal address. The author’s organisation and/or funder may also require that their logos be added to the poster.

The introduction is the opportunity to explain why the poster was created and set the context for the information presented in the poster. As in a research paper, the methods are used to explain how the research was conducted. If the poster is about a particular procedure or piece of equipment, a photograph can be used in place of words. The addition of photographs will make a poster more visually pleasing and will reduce the number of words required in the methods section.

Research results can be presented in several ways, such as graphs, charts or infographics. This again makes the poster more visually pleasing and aids the comprehension of the results. Data that are presented as graphs, charts or infographics ensure that the results of research can be understood much quicker than trying to read tables of data or large amounts of text.

The conclusions of the research can be presented as bullet points, the information can be listed in a concise way that the audience can easily find on the poster. This section may include what was learnt, the significance of the findings and opportunities for future research.

The main text of a poster should be readable from at least 1.5m away. Any labels on diagrams and references can be of a smaller size. Exact font sizes might be specified in the conference submission guidance, in which case these should be followed exactly. Any headings of the same importance should be of the same font size.

It is important that any other sources used during the creation of the poster are correctly referenced. It is usual to have around five references on a poster, all formatted correctly. Using a reference manager such as Endnote, Mendeley or Zotero can help to ensure that references are in the correct format. Endnote has a plugin which can be used with PowerPoint, for other reference managers, authors must create the references in Word and then copy and paste them to PowerPoint. As Gopal et al (2017) discovered in their study, even when pre-defined requirements are only size and orientation, 28% of posters did not meet both of these criteria.

Presentation of information

As Gundogan et al state (2016) an academic poster should be an aesthetically pleasing format – therefore an important element of any poster are the images that it contains. These could be photographs, diagrams, charts or graphs. If images are used they should be in PNG, GIF, JPEG or TIF formats as these are better for re-sizing without losing image clarity. If images from other sources are used, it is important that any copyright licences are complied with. If possible, an author should use their own images as they will own the copyright on those images. As Gopal et al (2017) illustrated in their study, only 29% of posters assessed had no copyright issues with the material they had included. Any images included in a poster should have a resolution of at least two hundred dots per inch or 80 dots per centimetre to avoid the image having a grainy or pixelated appearance when it is enlarged. Pixabay is a good source of royalty-free images with CC0 licenses ( Pixabay 2020 ). The use of infographics can make a poster more visually appealing. Infographics can be created in many applications, including Canva, Easelly or Piktochart.

When creating a poster, it is important to ensure that the poster has been completed ahead of any deadlines to ensure that there is enough time to print the poster, if required. The conference requirements may state that the posters will be printed by the organisers or the author may have to print it themselves.

Presenting a conference poster online

During the COVID-19 pandemic, many traditional face-to-face conferences have been moving online. There are three main formats that conferences have used to present posters in an online environment.

  • An online gallery – posters are hosted online. These online galleries are sometimes supplemented with an online discussion board to ask questions about the posters.
  • Asynchronous – this involves recording a video presentation of about 5min explaining the poster. There may then be a live session during the conference where attendees could question the posters author.
  • Synchronous – a poster is presented live during a scheduled session with the opportunity for questions.

Although the disadvantage of electronic posters is that they are harder to keep on permanent display, the advantage is that they can still be viewed after a conference is over, allowing discussions to continue ( Powell-Tuck et al 2002 ).

Conclusion and top tips

When creating an academic poster, the author needs to ensure that the submission guidelines are followed. The use of a non-serif font makes the content easier to read in smaller sizes. If any images that are not the author’s own are used, the author should have the correct permissions to use them. The author should try not to cram as much information as possible into the poster; there should be a clear flow and space between sections on the poster. In order to avoid any errors in spelling and grammar, a colleague can be asked to proofread the poster before it is submitted.

Once the conference is over, the poster can be displayed in an office or in the author’s department. This allows a wider audience to see the poster. The poster could be added to a repository online if it has not already been archived by the conference.

  • Correct header and footer
  • Design Lab logo and client logo
  • Plain white background
  • Proof read: equations correct, figures labeled, spelling correct.
  • Readable: rule of thumb - poster printed on standard paper (8.5 x 11") held at arms length - every character should be readable
  • Microsoft embedded objects - use Excel chart objects, not pictures or images of Excel/Word content
  • No excess significant figures - nothing screams amateur and unbelievable more than excess sig figs.

Strategy ¶

  • The poster should tell a story! Use your elevator speech to outline the story.
  • The poster will be used as a prop for your presentation. It is your "note card".
  • Posters stay up for visitors - you will not be there.
  • Posters are compiled for publicity - you will not be there.
  • Purpose - long term objectives from the PSO: the big picture
  • Background - Condense your PSO.
  • Semester objectives - straight from the Project Statement and Objective (condensed as needed).
  • Accomplishments are real tangible things - something a client would pay for. Administrative and planning tasks are not accomplishments.
  • show your engineering skills by telling us what software, calculations, theories, approaches you will use.
  • ex: Will you do an FEA? How about PSPICE for circuit analysis?
  • Do not just list tools, tell what you will actually DO with them. ex: "Use MATLAB to simulate control system response to variable x".

Style ¶

  • As few words as possible - do not use complete sentences.
  • Use bullets or tables instead of paragraphs. Bullet point text should not exceed one line.
  • show YOUR accomplishments (preferred) or those of others (such as the previous team)
  • condense or eliminate text
  • avoid anecdotal data (cherry pick) - ex: parametric evaluation of result rather than a single point example
  • Use color only with purpose! Do not create a splashy poster just for the art of it. Use the color to code things or to separate material.
  • Diagrams must be readable! Use blank space in graphs for legends, figures, annotations
  • Pictures must be annotated - point to the features that cause the picture to be added in the first place.
  • Pictures should not have cluttered backgrounds - take time to take good pictures or use image editing to enhance
  • Use section headings per the template if possible. We publish these in an annual book and we want them to all look similar.
  • actions: familiarized, learned, understand, research...
  • adjectives: robust, optimal, ideally, theoretically, perfectly...
  • goals: efficient, expensive, cheap, strong... Quantify these as measurable requirements instead.

Poster Mechanics ¶

Follow these for printing and producing your poster.

  • Select Arch E or a 3ft wide by 4ft long paper size option to print your poster.
  • Although the plotter paper is 36 inches wide, the actual printable area is 34 inches or less. Make sure to allow 1" margins.
  • It is acceptable for legends/graphs/diagrams to have smaller font due to space constraints. You can verbally describe during presentations. Audience can move closer to inspect/understand afterwards.
  • Review your poster before sending it to a plotter. Print a poster on a letter size paper (8.5" x 11") using a color printer. Keep your arms straight and hold the sheet. This simulates the condition of a reviewer reading your 3’ by 4’ poster when you are standing in front of your poster. Make sure that it is easy to read and that the color scheme is working. Avoid complex backgrounds because they can distract from your message. Using a simple white background is almost always the best choice.
  • When printing, DO NOT use glossy paper! This is more expensive, takes longer to dry, and is often more challenging to read due to glare from lighting in the room.

  • Be sure to post both the source file and a pdf file on the EDN. The source file is needed to create a final poster at the end of a semester, and for anyone else to edit.
  • Only PowerPoint should be used to create the poster. Tools such as Microsoft Publisher, Visio, Draw.io, Adobe Photoshop, Adobe Illustrator and similar tools are not to be used as not everyone has these tools. Web based tools are not to be used because the project's IP would then be stored in a non-RPI cloud system.
  • Cost of plotting poster will NOT be reimbursed through team budget.
  • Most Project Engineer's (Anderson, DeBoer, Paster, Natarajan) department affiliation is 'CORE'.

A rubric was developed to assess student posters as a mechanism to evaluate learning outcomes for a senior capstone course. The analytic rubric allows for the efficient and systematic collection of data from posters by students who worked across a variety of disciplines including the physical, biological, Earth sciences, social science, and the humanities. The rubric effectively addressed a fundamental assumption and requirement put forth during rubric development, that is, it needs to be relatively easy to use without training while at the same time producing consistent results across evaluators. The overall Chronbach’s alpha of 0.80 across semesters indicates acceptable inter-rater reliability. Data generated by assessment of 106 interdisciplinary posters indicates a general, yet not statistically significant, improvement, in total scores from the spring 2014 to spring 2018, documents student proficiency, and captures the variability in the quality of the various projects. The rubric was primarily developed as a tool to inform formative assessment, but it is also a teaching tool. Its use in providing feedback and as reflection tool enhances the learning experience for students and increases the impact of the senior thesis process on their professional development. The use of a student feedback questionnaire has informed reflective instructional practice. This resulted in an increased emphasis within the capstone course on the inclusion of reference citations, use of informal writing activities, and frequency of meetings with faculty mentors. The results from our approach should be encouraging to other interdisciplinary environmental studies and science programs that seek to efficiently and effectively impact student learning outcomes and evaluate the impact of course changes over several semesters.
