How to Download a PowerPoint Presentation

If you don’t already have PowerPoint, you will need to download it. Microsoft PowerPoint is part of Microsoft 365 . This is a subscription service, so it does come with a cost.

A free alternative for working with PowerPoint files may be Google slides .

If you choose to download PowerPoint, first make sure your computer will be able to run it: 

• Windows Users: Check that your computer is running Windows 10 or higher that your system has the required hardware specifications to run PowerPoint smoothly.
• Mac Users: Confirm that your Mac is running a version of macOS that supports Microsoft’s software .

How to Quickly Share PowerPoint Presentations Online (Watch & Learn)

In this quick two-minute screencast video, I'll walk you through using PowerPoint Online and SlideShare to upload your presentation for sharing. I'll show you tips and tricks for each platform to get the most from them.

Both of these services are free when you make an account. You don't need anything other than a PowerPoint file and an account to quickly share your presentation online.

Now, let's dive into some written tips on using these services. I'll show you best practices on getting your PowerPoint online for an audience to see.

Microsoft PowerPoint Online

Do you have a PowerPoint and are you wondering " how to share my PowerPoint online? "

My preferred way to share PowerPoint presentations is to use  PowerPoint Online,  Microsoft's browser-based version of PowerPoint. If you've used Google Drive and their collaborative apps that live inside your web browser, you can think of this as Microsoft's alternative. Best of all, it's free!

To use PowerPoint Online, you'll need a Microsoft account, which is free to create. Jump over to this link to log in or create a Microsoft account and get started with PowerPoint Online.

1. Upload Your PowerPoint Presentation

Now, you'll need to upload your PowerPoint presentation to make it available online.

There are two ways you can do this:

• Save it to your OneDrive account that's associated with your email address. OneDrive Microsoft's cloud storage app will automatically be available in PowerPoint Online when you log in.
• Log into PowerPoint Online , and click on  Upload a Presentation  to upload your file from your computer.

2. Invite Viewers to Your Online Presentation

Once your presentation is online, you're ready to invite others to view it. Using PowerPoint Online, click on  Share in the right corner above the presentation.

Now, you can add email addresses for anyone to invite to the presentation. Add some email addresses in the To field, along with a message below it to add collaborators.

There are some other key options that you'll want to set each time you add viewers to a presentation:

• On the dropdown options, you can choose between Anyone with the link and Specific people  to control who has access to the presentation.
• You can also choose between the permissions Can edit and Can view . If you select the Can edit option, your invitee can make changes to the presentation.
• You can set an expiration date for the share. Or, set a password so that the invitee has to log in to view the presentation.
• You can also copy the link to share it online or through email. (See the steps below.)

3. Optional: Make an Online PowerPoint Presentation Link

Another option is to make the presentation public so that anyone with the URL to your presentation can view it. If you're distributing your PowerPoint presentation to a team online, it's easier to create a link instead of inviting each user's email address.

Here's how to create a link for a PowerPoint:

Click on Copy link on the same sharing window I showed you above. PowerPoint Online creates a URL that you can send to others to collaborate on the presentation with you.

To invite others to make edits using the URL, click on the Anyone with the link can view  option. Choose Allow editing from the Other settings section.

Post Your Presentations Online With SlideShare 

Besides PowerPoint online, SlideShare is one of the best-known services for posting a PowerPoint online. When Netflix uploaded a slide deck on their culture in 2009, they likely had no idea that it would be viewed 17 million times in the following years. 

Just as YouTube is a discovery platform for video, SlideShare is a network where users can discover your slide deck.

SlideShare is now owned by Scribd. You can upload a PowerPoint to SlideShare simply by hopping over to their website and log in (or create) your Scribd account. Or you can still log in through LinkedIn.

SlideShare supports a variety of formats, but it's tailor-made to drop your PowerPoint (PPTX) files into. You can drag and drop a file onto the window or click on a cloud service to quickly add your presentation online.

After you begin uploading your presentation, SlideShare has you add some basic metadata. Add a Title , Category , and Tags to help users discover your content.

Maybe the most important setting on this screen is to choose the  Privacy  settings for your presentation. A  Public  presentation appears to anyone who comes across it via search or social, just like the Netflix culture slide deck. You could also choose Limited  to make it visible, but not in SlideShare search.

Once you've set the privacy, press  Publish . Your presentation will go online, ready to share!

SlideShare is a great choice for when you want to publicize your PowerPoint. But the privacy settings are essential when you're sharing your presentation online.

Send and Share Your PowerPoint Presentations

If your presentation contains sensitive information or you just don't want to publish it online, I still have tips for how to share your presentation effectively.

If you're going to use email or a service like Dropbox to upload your PowerPoint presentation, you might want to reduce the file size  of your presentation before you send it. Let's look at two key tips to reduce the file size so that you don't waste someone's inbox space.

1. Compress Images

Images are usually the single largest part of a PowerPoint presentation. Everything else in a presentation is some combination of text and shapes, which don't consume much storage space at all.

Compressing images is the best way I've found to save space. Select a picture and click Picture Format . Choose  Compress Pictures.

On the  Compress Pictures  menu, choose a lower resolution setting from the list of options. I recommend choosing a lower resolution like 150 or 96 PPI. This reduces the space occupied by your images and creates a smaller PowerPoint file.

2. Save a Lower Resolution Copy

Beyond the images in your presentation, you can also save the entire presentation at a lower resolution.

On the  File > Save As  menu, this time choose the  Tools > Save Options  menu.

Both of these tricks save some serious storage space when you share your presentation. Even if you're considering uploading it to PowerPoint Online, this is an ideal step to maintain PowerPoint performance.

4 ways to download PowerPoint straight from Microsoft

PowerPoint is the most popular slideshow presentation app in the world. It is developed and sold by Microsoft as part of its Office suite, together with other productivity apps such as Word, Excel, Outlook or Access. However, it is also available online as a web app. Unless you have already worked with PowerPoint, you might wonder how and where to download it. If you go online and search for it, many of the search results you get are misleading, so we thought it would make a good idea to show you a few ways in which you can download PowerPoint safely, straight from Microsoft:

What you should know before downloading powerpoint, 1. download powerpoint from the office.com website, when you have an office 365 subscription, 2. download powerpoint mobile from the microsoft store, for free, 3. download powerpoint from the office website, when you own a license for microsoft office 2019, 2016 or 2013, 4. download powerpoint using the microsoft windows and office iso download tool, bonus: you do not need to download powerpoint. use it for free, online, what is your favorite way to download powerpoint.

Before we go ahead and show you how to download PowerPoint on your PC straight from Microsoft, we must first tell you something important: PowerPoint is an app that is offered by Microsoft only as part of the company's productivity suite called Office. That means that to be able to download and install the full version of PowerPoint, you must own the Microsoft Office suite or have a subscription to Office 365 .

However, if you are not ready to spend money, there are two alternatives that you might like and which you can find in the second and last methods from this guide. The first one lets you download and install PowerPoint Mobile, which is a free and lightweight version of PowerPoint. The last one does not involve downloading PowerPoint but lets you use it nonetheless, legally, for free.

If you have a valid Office 365 subscription or if you want to install a trial version of Microsoft's productivity apps, including PowerPoint, open your favorite web browser and visit office.com . Click or tap Sign in .

Authenticate yourself with the Microsoft account that you used to buy the subscription to Office 365.

After you have signed in, you should see a webpage like the one in the screenshot below. On the right side, immediately under the header, there should be a link called Install Office . Click or tap on it.

This action opens a new tab in your browser, where you can see your Office 365 subscription. Among other information, you should also see a section that's called "Install Office on all your computers" or something similar. Click or tap the Install Office button.

Choose the version and language that you prefer, and then click or tap Install .

The previous action gives you an executable file that you can use to install Office 365, including PowerPoint.

Download the file, run it, and install the Office apps, including PowerPoint.

There is another way to download PowerPoint on your PC, for free. If you are using Windows 10, you can use the Microsoft Store to download and install PowerPoint Mobile. It's not the full-fledged version of the PowerPoint you get in Office 365 or Office retail editions, but it lets you use every basic feature. If you're looking for the free PowerPoint, this is the method you should use.

Start the Microsoft Store by clicking or tapping on its shortcut from the Start Menu .

Then search for PowerPoint: when the results are shown, click or tap on PowerPoint Mobile . If you don't see it in your results, you can use this direct link to PowerPoint Mobile . On the app's page, click or tap on Install .

Wait for PowerPoint Mobile to download and install. It shouldn't take long, as it doesn't have a large size: only about 50MB.

When the installation is over, click or tap on Launch to open PowerPoint Mobile . Later on, you can start it using its shortcut from the Start Menu .

As you can see, it's not the full-fledged version of PowerPoint, and it's clearly addressed to mobile users who prefer touch, not to desktop PC or laptop users who are used to using a keyboard and mouse.

If you do not like subscriptions and you preferred to buy a license for Microsoft Office 2019, 2016 or 2013, use this method to download PowerPoint on your PC: open a web browser on your PC and visit setup.office.com . Once it loads, click or tap Sign in and authenticate using your Microsoft account, or create a new one if you do not have one already.

The webpage asks you to enter your Office product key. If this is the first time you have used it, you can enter it and tie it to your account. However, we assume that you have already done that in the past. To get to the download links, although it Is not intuitive, click or tap the Office icon from the top-left corner of the page, and then the " Install from your Microsoft account " link under your name.

Then, you can see all the Office standalone products that you have bought in the past. You can go ahead and click or tap on the Download button from the Office product you prefer. That lets you download Office and PowerPoint with it.

If you have a retail license for Microsoft Office 2019, 2016, 2013, or 2010 and want a faster way to download PowerPoint, you should consider using the Microsoft Windows and Office ISO Download Tool . You can get it from the heidoc.net website . It is a free app that lets you do just that: download Windows and Office using direct links to Microsoft's servers. Find out more in this tutorial . If you choose to use it, it is good to know that this method also lets you download just PowerPoint instead of having to get the entire Office suite.

To download Office or PowerPoint only, open the Office tab on the right side, select the edition and the language you want, and then click or tap Download .

Finally, for those of you who do not have a license to use Office and do not want to use trial versions or PowerPoint Mobile, you should know that you do not need to spend any money to use PowerPoint. Instead of trying to download it on your PC, you can use its online version. Microsoft provides a PowerPoint web app that, although is not the full-fledged software, offers all the basics you need.

To get to the online version PowerPoint, visit office.com and log in using your Microsoft account. Then, click or tap PowerPoint . Alternatively, you can also use this direct link: PowerPoint Online .

PowerPoint Online loads and lets you create the presentation you need.

Let’s consider a scenario: You were asked to explain to a software team and convince them to switch from Java to Python. You know that Python is powerful, especially powered by its ecosystem, community support, and online software repository. But building a story pitch needs some thought.

You can make use of ChatGPT to create the story pitch. Your prompt should include:

• Persona : ChatGPT should sound like an expert
• Goal : You want an outline that you can use to build a slide deck
• Details : Your storyline should be that Python can work better than Java. Depending on the use case, you may want to give more detail on a particular application, such as REST API system

Therefore, you may try the following prompt:

You are an expert in Python programming and system development. Write the outline for a slide deck to pitch the Python ecosystem to a Java veteran. Tell them how Python can do all the things that they were doing with Java. Focus on the benefits of easy to use, easy to develop, and easy to maintain. Especially focusing on how Python supports building a scalable system with REST API support.

As expected, ChatGPT can give you an outline as follows:

ChatGPT generating an outline for a presentation

You should review what ChatGPT provided to you. You may also use a follow-up prompt to ask ChatGPT to revise some slides or add some content. However, once you are satisfied with the outline, you can ask ChatGPT to create the PowerPoint slide.

Since ChatGPT is not going to return a PowerPoint file to you, you need to find something that can generate PowerPoint. Just like you learned that Mermaid syntax is a way to present a sequence diagram in the previous post, PowerPoint comes with Visual Basic for Application (VBA) that can generate a slide deck using code.

For example, you can use this follow-up prompt to generate the VBA code that creates the deck:

Now write the VBA code to create the PowerPoint slides for this deck. Occasionally add humorous and whimsical content.

ChatGPT generating VBA for a presentation

VBA is a language that PowerPoint has built-in support. You can run the code and obtain a PowerPoint file in the following steps.

Firstly, open your PowerPoint application and create a new presentation. Then, you should find “Visual Basic Editor” in the “Tools” menu, under “Macro” submenu.

You should see a “VBAProject” window in the Visual Basic Editor. Right-click on that to insert a new Module.

Then you can copy and paste the VBA code that ChatGPT generated into the Module window, just as the screenshot below.

Then you are ready to run this VBA code to generate a PowerPoint file. All you need is to click the “Run” button on the toolbar.

Running this will create another PowerPoint presentation with the content generated by ChatGPT. You can discard the first presentation as it is empty and work on this one instead.

Note that the slides are bare, and you may want to apply a template to make them more colorful. Instructions on switching a template to an existing presentation can be easily found online. Also note that the slide generated is not perfect. There could be some formatting issues, for example. ChatGPT is just helping you to get started. It is your job to polish it further.

You can see that the above provided a general workflow for producing any file format using ChatGPT.

Firstly you need to know what programming language or mark up language is possible for that particular file format. For example, if it is not Microsoft PowerPoint but Google Slides, there is Google Slides API for that.

Then, you should have a concrete idea of what to put in the file. In the above, you mentioned the purpose and content that should be included in the PowerPoint presentation. This helps ChatGPT generate the content for you. Of course, you can polish the result ChatGPT provided using follow-up prompts such as “Remove the last slide” or “Add an agenda slide at the beginning”.

Once you are ready with the content, you should ask ChatGPT to generate the code that can, in turn, generate the final output. Depending on the actual file format, you may need to run the code appropriately. In the example above, you launched PowerPoint and ran the VBA. If you asked for a PDF and make ChatGPT generate LaTeX code for you, you need to run the LaTeX compiler to generate the final output.

In this post, you learned how to create a PowerPoint file. In particular, you learned

As you're getting your Microsoft 365 business subscription set up, you'll want to download and install your Microsoft 365 apps, like Word, Excel, Microsoft Teams, and PowerPoint, on your PC or Mac.
