Zoom Negotiation Insights
Inside the Vendr platform, you can explore a variety of negotiation angles when it comes to purchasing or renewing your Zoom contract. One of the potential discount levers to consider is:
- Contract Range Alignment: Pricing for Zoom varies depending on the number of users or the 'headcount' in your organization. Our data shows that organizations with 200 users can expect contracts in the range of $14,500.00 - $27,600.00, while those with 1000 users see a contract range of $23,900.00 - $58,200.00. Ensure you get the pricing applicable to your organization size while negotiating.
When discussing the commercial aspects, one important item is:
- Bundling with Zoom Phone: Bundling services together is a common strategy to achieve price reductions. If your organization also needs telecommunication services, consider bundling Zoom Phone with your base Zoom contract. This could provide negotiating leverage for lower overall pricing.
These insights can provide a good starting point for negotiations. However, for a deeper dive, you may want to consider the insights we offer through our platform. As a founder, owner, and maybe even a sole proprietor, you know all about the importance of communication. Staying connected with customers, employees, partners, investors, suppliers, and vendors can help you build trust, grow your brand, and establish meaningful relationships with the people that matter most to your small business.
This guide offers a few ways to help you enhance your customer service, improve collaboration, and support your growing remote or hybrid team, all with a single communications platform. When you have your communications dialed in, you can spend less time worrying about technology and more time doing what you love.
Are you looking for unified communications or best-of-breed?
Small businesses building their processes typically choose to consolidate communications with a single platform or go with a best-of-breed approach.
![Master Scheduling Zoom Meetings woman and rocket ship](https://images4.welcomesoftware.com/assets/Master-scheduling-zoom-meetings.png/Zz1kYmJiZjg4ZWYwMjQxMWVkYWI3MjI2Yjg2YzI4NGM4Yg==?t=20240711015132)
Unified communications
Unified communications refers to a single platform that offers phone, chat, and video conferencing together. This provides a seamless, one-app experience for employees, and simpler management without having to deal with different providers and contracts.
![Global Phone Service best in breed](https://images4.welcomesoftware.com/assets/global-phone-service.png/Zz1kYmMwYjZkYWYwMjQxMWVkODRiOWFlNDEzNmYxNDljYg==?t=20240711015132)
Best-of-breed
Best-of-breed means choosing several different vendors to provide your technology needs — one for messaging, another for phone, and yet another for video calls. While this approach allows you to customize your tech stack, it can be more expensive and difficult to manage over time without the right resources.
If you have a lean IT team, or you wear the “IT director” hat (along with marketing, accounting, business development, and sales hats), a unified communications solution can help streamline IT management and give you more time to focus on what you’re more passionate about — like growing your business.
I like the ease of use and cost-effectiveness of [Zoom]. Instead of four different things, I have one platform that incorporates them all. There are fewer bills to pay and fewer contracts to understand. It’s made things a lot easier.

Whether you’re taking your side hustle full-time, turning your passion project into an income stream, or building your big idea into a thriving startup, the first few years of starting your business are critical to your success.
How you communicate and engage with your customers, employees, vendors, suppliers, and future partners during this time will help lay the foundation for growth.
That’s why you’re looking for peace of mind in your communications platform: the confidence in knowing that your solution will perform in any situation, whether you’re meeting one on one with a valuable customer or delivering a webinar to an audience of 500. Of course, cost and customization are important, too. You want to be able to pay for the services you need, not the fluff you don’t use — and you don’t want any surprise fees or overage charges when the bill comes.
Learn how your communications platform can help you build customer connections, enable employee collaboration, and develop a strong company culture to support your thriving team.
Connecting with customers
No matter what line of business you’re in, you want to meet your customers’ needs at every point in their journey. Today’s consumers want brands to be available for instant communications on a broad range of channels — not just phone and email, but text message, social media, live chat, and even video.
Here are some tips for connecting with customers on the Zoom platform:
Communicate anywhere, on any device
Even when you’re constantly on the go, you want to be there when your customers need you. Zoom works on a globally available suite of hardware solutions for offices, homes, workspaces, and mobile devices, and lets you move seamlessly from place to place. When you download the Zoom desktop client and mobile app, you can receive Zoom Phone calls, send a text, or join a Zoom Meetings from your laptop, tablet, or smartphone. You don’t have to be tied to your desk or risk missing opportunities when you leave it.
Zoom Phone allows you to choose which number you call or text customers from, whether it’s a main business line or your own direct business number. Either way, you won’t have to use your personal number to reach customers anymore.
Respond faster with call queues
While you may have once been the sole person answering calls for your business, your growing team can help make sure your customers aren’t kept waiting too long. Setting up a call queue routes incoming calls to a designated group of users, like your entire sales team, leading to shorter wait times for customers.
You can have an entire team helping to support text message response. When your customer texts a number associated with the call queue, it will be sent to a group of users for the first available rep to respond, cutting down on customer wait times.
Engage your customers with video
Embrace the advantages of video to reach new customers and offer virtual services. Features like screen sharing and annotation help build a dialogue with your customer during a consultation or allow you to deliver an engaging product demo. You can also create virtual touchpoints like a weekly office drop-in, or establish new revenue streams from virtual classes and events.
Read the blog: Rethinking the Customer Experience in the Video Age
Did you know that you can set up your own customizable personal meeting link with your company name so people can connect with you for quick, ad-hoc video calls? You can keep your custom link in your email signature for easy access.
Anyone with your personal meeting link will be able to join your meeting, even if you haven’t specifically invited them. To secure your meeting and prevent unexpected visitors from joining, you can enable the Waiting Room feature to admit participants individually, or lock your meeting room while in use
Enabling employee collaboration
For small businesses, investing in a physical office space can be hard to justify, especially when so much of the world is hybrid. If your employees are remote and distributed, a communications platform becomes even more important for enabling effective collaboration from afar.
Quickly see who’s available
Zoom Team Chat enables you to have quick, real-time conversations with employees without scheduling a full-on meeting. Think of it as the equivalent of stopping by a colleague’s desk to ask a question. You can see whether an employee is available, in a meeting, away from their desk, or on vacation, giving you a better idea of when you can expect a response.
Create chat channels for different projects
With Zoom Team Chat, you can easily communicate with people one on one or in groups. You can create different channels for different groups of people — one for the sales department, another for marketing, and another for leadership. You can also pull together people from different departments into a channel for a specific product launch or project to have discussions, share images or files, and provide feedback.
Move from one method of communication on to another
When you’re collaborating with a colleague over chat, you may realize that a phone call or video conference would be easier for getting the message across. The Zoom platform enables you to easily move from a chat to a phone call or video meeting with the click of a button. You can also pull other collaborators into a phone call or Zoom Meetings as needed.
Integrate or leverage your critical applications
Use integrations to launch important work tools from within the Zoom client for even more effective collaboration. Leverage Miro’s collaborative whiteboard during your next virtual brainstorming session, project manage in meetings with the Asana app, and streamline notetaking with Notejoy
![zoom business plan minimum of 10 hosts Integrate or leverage your critical applications](https://explore.zoom.us/media/760fbeb6-6726-4a3b-b637-6bbf8cdf144a.jpg)
Support accessibility for all employees
Give employees the solutions they need to communicate and collaborate effectively. Enable auto-generated captions (also known as live transcription) for all users in your account and make sure your employees know about the accessibility features they can customize in their Zoom settings.
Building culture among growing teams
As your team grows, it’s important to build your internal culture so employees feel welcome, build trust, and get to know each other. Without long hours spent together in the office, you can use the Zoom platform as a hub for social connection and culture building. Here’s how:
Create social chat channels
Zoom Team Chat channels offer a space for groups with similar interests to connect, but those interests don’t have to be work-related. Encourage employees to create channels for their personal interests and hobbies. From dog lovers to book readers to sports fans, your employees will find common interests to connect over, and a devoted place to talk about them.

Hold virtual all-hands meetings
While your company’s day-to-day collaboration might happen in teams, getting everyone together regularly is important for disseminating business news and information, hearing from leadership, and engaging employees. This is helpful whether you’re a team of 10 or 100. You can make your all-hands meetings as casual and interactive as you want, including virtual icebreakers and games or even inviting guest speakers to educate and inspire.
Celebrate & recognize employees
When employees have completed a project or scored a big sales win, send an announcement on Zoom Team Chat to publicly celebrate their efforts. Don’t forget about birthdays, promotions, work anniversaries, and other milestones — acknowledging them on Zoom Team Chat allows others to chime in and share their congratulations, too.

Building a business from the ground up is no easy feat — according to the Chamber of Commerce , only 50% of small businesses survive past the five-year mark.
If you’ve nurtured your company past the startup stage, congrats! Now it’s time to focus on the next phase of expansion, which may require more communications capabilities to help support your evolving needs.
As an established business, you probably have more IT support and budget to spend on technology than you did as a startup. What you’re looking for in a communications solution may have shifted, too — you want a high-quality, feature-rich platform that will help take your business to the next level. But, you still want it to be intuitive, reliable, and easy to manage.
Read on for tips on how to optimize communications, elevate your operations, and let you get back to the work you prefer — honing your craft and serving your customers.
Making global connections
In a digitally connected world, you can build a global customer base and an international team faster than ever before. See how Zoom enables you to expand to new markets and stay connected with customers and employees.
Global phone services
Your team may be selling or providing customer service in new places. Zoom Phone has expanded global coverage to more than 45 countries and territories and provides flexible BYOC options that extend your geographic reach even further.

Virtual troubleshooting & support
You don’t need to limit your business operations based on who’s available in a specific location — with Zoom, your team members can conduct business all over the world. A customer service rep in Europe can jump on a video call to provide support to a customer in Asia. An equipment technician based in South America can help troubleshoot issues at a manufacturing plant in the U.S., all over Zoom.
Host international events
When you’re planning your next product launch or customer conference, you can open your event up to a global audience with our Zoom Events solution. Live language interpretation for Zoom Meetings and Zoom Webinars enables you to designate interpreters for different languages. And starting in 2022, we’re building out automated transcription for 30 languages and live translation for 12 languages to help you reduce more language barriers and reach more people.
Optimizing workspaces & workflows
As your business grows, identifying efficiencies will help you scale your operations. Optimizing where and how you work can help drive productivity and make you and your team more effective.
Integrate with existing technology
Over the past few years, you’ve probably adopted some technology tools that have become ingrained in your business operations. When you choose Zoom, you can integrate with hundreds of business applications like Salesforce , Zendesk , Microsoft Teams , and Google Workspace . Integrations enable you to create seamless workflows without toggling between multiple applications.
Create an intuitive hybrid workspace
If you have physical offices, video-enabling your meeting spaces will help your hybrid workforce connect more efficiently without IT’s help. With Zoom Rooms , your employees will be able to effortlessly join a video conference with one click, and share content wirelessly without worrying about cables and connections. Plus, features like Smart Gallery help you create a more equitable meeting experience between remote and in-person employees.
![Create An Intuituve Hybrid Workspace zoom meeting](https://images1.welcomesoftware.com/assets/Create-an-intuituve-hybrid-workspace.png/Zz1kYmE2MzZhY2YwMjQxMWVkYmNhZmRhYTllYWRjODQ3NA==?t=20240711015133)
When you actually see Zoom Rooms in action, you think it’s so simple, it’s impossible. You walk into a room and press a button and you’re connected. … It’s so easy in a sense that you don’t really need dedicated or specialized IT support, and for a small business, that’s a big thing.
Tom Szauer, RF Binder
Make it even easier to connect from home.
By optimizing your own home office space, you can collaborate more efficiently and boost productivity. Set up Zoom for Home on a personal collaboration device like the DTEN ME or Lenovo ThinkSmart View to access your calendar, make and receive phone calls, or join a video meeting with one touch.
Supporting your growing team
Many small businesses experience growing pains as they expand, welcome new employees, and build scalable processes to serve their customers. Here’s how you can leverage modern communications technology to help support and equip your hybrid team with what they need to work smarter, not harder.
Set business hours for better work-life balance
Nurturing a positive company culture that respects employees’ time and boundaries will help you recruit and retain a high-performing workforce. Help your employees with reducing burnout and stress by encouraging them to set Do Not Disturb hours on their Zoom client and business hours on their Zoom Phone settings. After hours, inbound calls can be automatically routed to voicemail or an after-hours call queue so your employees don’t have to worry about being “always on.”
Enable flexible working for on-the-go employees
Today’s employees expect flexibility in where and when they work . With the Zoom platform, you can easily take your meeting on the go by switching from your laptop to a mobile device without leaving the session. You can also make and receive phone calls from any internet-connected device, meaning you don’t have to be tied to a desk phone to connect with colleagues or customers.
Customize for your needs
You can customize Zoom to meet your business needs, whatever they may be — now and into the future:
- If your business handles a high volume of phone calls, add on the Zoom Phone Power Pack to make it easy to transfer calls, manage call queues, and view real-time call analytics.
- If you need to record and store your Zoom video calls for training or compliance purposes, add on more cloud storage.
- Want to host up to 1,000 interactive participants on a Zoom video meeting? Add on a large meeting license whenever you need it, and go back down to your regular plan the following month.
- If you have team members around the world, you can get local phone service in 45+ different countries through our Global Select plan.
- Need to embed video into your services or solutions? The Zoom Developer Platform enables you to build custom integrations.
- If hardware investments aren’t in your budget, Zoom’s Hardware as a Service lets you get the solutions you need at an affordable monthly price. You can easily add and upgrade as your business grows.
With flexible plans and add-ons , you’ll always be able to find a solution that fits your situation — even if your needs are constantly evolving.

![zoom business plan minimum of 10 hosts Zoom Meeting](https://getvoip.com/uploads/Zoom-Meeting.jpg)
It supports up to 100 participants in video meetings but limits meetings to 40 minutes . While multiple basic users can share an account and license, licensing multiple employees under one company account requires switching to a higher tier.
For a free plan, the Basic tier includes a surprisingly robust set of video features to encourage in-meeting collaboration and real-time communication on desktop and iOS or Android mobile devices.
In a Zoom Meeting, hosts and participants can access the following controls:
- Meeting information: The top-left corner icon provides information about the meeting room’s title, Meeting ID, host, passcode, and invite link
- Mute/join audio: Mute/unmute microphone, test audio, and select meeting audio source
- Start/stop video: Turn video camera on/off, select camera, add Zoom background images/filters

- View participants: See meeting participant names, the total number of attendees, which users have a microphone or camera on/off
Video collaboration features in Zoom’s Basic plan:
- Chat: Type a message to all participants, create smaller channels, or use one-on-one private messaging. Send files, images, lines of code, emojis, and GIFs

- Waiting room: Before meetings, participants remain in a virtual waiting room until the host admits them
- Filters: Add colors, stickers, and mask-like filters to video streams

Editable boards are saved in the Zoom cloud and can be shared during and outside of meetings. The Basic and Pro plans include 3 whiteboards, while the Business plan and up support unlimited whiteboards.
- Storage: Though there’s no cloud storage on the Basic plan, users can locally record videos and save their mp4 files on their device

While the Pro plan maintains the same 100-participant limit as Basic, Pro offers a handful of meeting features that expand administrative and developer capabilities and increase meeting attendee engagement:
Meeting Co-hosts
Meeting hosts can assign unlimited co-hosts to manage participants, virtual backgrounds, slide presentations, breakout rooms, polls, and in-meeting chat to free up the main host.
Polls allow you to create and pose up to 50 questions to participants during a meeting or webinar, providing information and feedback, and keeping teams engaged. Structure questions as multiple choice, matching, agree/disagree, rank order, short answer, or long answer.
![zoom business plan minimum of 10 hosts Zoom Meetings Pop Quiz](https://getvoip.com/uploads/Zoom-Meetings-Pop-Quiz.jpg)
Create polls in the Settings page and set poll anonymity.
After a meeting or webinar, poll responses are logged in reports for administrators to view.
Zoom REST APIs are pieces of code that allow users and developers to access Zoom information and actions within external apps.
The information contained in your Zoom account, such as meeting and user details, and webinar reports, can be useful for other purposes within your company’s app, like adding to a database or CRM system.
By scripting Zoom’s APIs into your company’s apps, you can:
- Access Zoom user details
- Access dashboard data
- Perform Zoom platform actions like creating a new user or deleting cloud recordings
Live stream meetings and webinars to URLs on Youtube, Facebook, Twitter, Twitch, or third-party streaming services.
Access reports and information about meeting usage, including:
- Number of weekly/monthly/etc. meetings
- Meeting dates and times
- Meeting participant names
- Number of meeting participants
- Meeting durations
Zoom One Business
Like the two lower tiers, Zoom One Business offers video, chat, and whiteboards–no phone or SMS.
However, Zoom One Business, which provides between 10 and 99 licenses, expands meetings to support 300 participants and offers unlimited concurrent whiteboards.
The added admin portal provides one interface for an administrator to manage all facets of the contact center: billing, user management, accessibility, and usage insights.
Managed email domains make it easy to batch-add users by company or domain through automated emails prompting Zoom account creation.
Zoom One Business also adds useful video tools:
- Recording transcripts: Searchable, shareable meeting recording transcriptions and audio files, recording editing, and recording highlights
- Branding: Add your company branding and logo to the meeting login page, meeting background, scheduling emails, and create a custom meeting URL.

Quote-Based Pricing

Drag-and-Drop Editor
Create a customer self-service routing menu–either a conversational IVR system or an automated chat messaging system–that helps customers reach an agent or voicemail, take an action, or gain information. Editor call and messaging flows can utilize voice, chat, SMS, or live video at any step in the process.
![zoom business plan minimum of 10 hosts Contact Center IVR](https://getvoip.com/uploads/Contact-Center-IVR.jpg)
Use a drag-and-drop flow builder to design your auto attendant, creating output messages with native recordings or text-to-speech. Customers can respond with dual-tone multi-frequency buttons, text keywords, or voice, because Zoom conversational AI understands natural language.
The call plan editor uses widgets to customize each step in the customer’s journey. For example, the Collect Input widget provides customers with menu dial-tone or button selections, while the Send Media widget triggers an outbound message, sends a file, or initiates a video meeting.
Skills-Based Routing
Skills-based routing ensures that incoming tickets reach the optimal agent by using routing profiles to sort incoming tickets to queues based on ticket priority, conditions, and agent skills.
Create skills, skill categories, and proficiency levels, and minimum agent proficiency requirements. The routing system then directs incoming calls, chats, and SMS tickets to agents with the optimal skillset, improving first-call resolution and CSAT scores.
Supervisors and administrators have access to a large glossary of metrics, KPIs, real-time reports, and historical reports providing contact center insights. Monitor active voice calls, live call queus, agent availability, individual agent call and ticket resolution statistics, channel usage, audio and performance quality reports, service level statistics, and customer satisfaction.
Add the following features to your Zoom Contact Center plan:

Table of Contents
Zoom at a glance, zoom meetings, other benefits, how zoom stacks up, is zoom right for you or your business, frequently asked questions (faqs).
Zoom Video Communications, more commonly known as just “Zoom,” was the brainchild of Eric Yuan, previously an executive and engineer at Cisco Systems. Zoom completed its IPO in 2019 and joined the NASDAQ-100 in 2020.
While it’s true that Zoom saw its usage skyrocket off the back of the global pandemic, the company was always on an upward trajectory. Zoom ultimately owes its success to a robust service that provides excellent video and webinar conferencing tools and other top-quality services.
Zoom’s Meetings platform is one of the most popular video conferencing systems in the world. This video conferencing software offers excellent video and audio streaming for free. The service is scalable to a degree, beginning with the free Basic plan and upgrading to options that bring vast amounts of integrations and data storage options to the table.
Zoom’s Basic plan is permanently free; you aren’t required to submit credit card information to use it. With Basic, you get:
- Unlimited group meetings hosted up to 40 minutes
- Unlimited one-to-one meetings, with each session having a 30-hour time limit
- The ability to host up to 100 participants
- The option of private and group chats
Additionally, the free version includes access to a host of business integrations, including Asana, Salesforce, Alexa, HubSpot and Workplace, among many others. Zoom also doesn’t make you pay extra for whiteboard tools, screen sharing, audio and video recordings or the ability to integrate with Google Calendar.
Zoom’s Basic tier may feel complete if you are someone who only needs a single license. However, if you desire unlimited meetings or specific web conferencing tools, you’ll want to consider upgrading.
With the Pro tier, you get everything in Basic plus:
- Social media streaming
- Co-hosting and alternate hosting
- Ability to designate anyone on the Pro plan to schedule meetings
- A gigabyte (GB) of cloud recording per license
- Skype for Business
- Live transcription
- Live streaming through YouTube, Facebook or a third-party service
- Usage reports
- User management tools
The Pro plan costs $15.99 per license, per month; Zoom recommends it for small teams as you can only buy a maximum of nine licenses.
The Business tier brings everything in the Basic and Pro plan, plus a few crucial additions:
- Ability to host meetings for up to 300 participants
- Recording transcripts
- Admin portal for simplified billing, user management and usage insights
- Language interpreters, who receive their own audio channels
- Single sign-on (SSO)
- Company branding
- Managed domains
This plan is aimed at small businesses that need between 10 and 99 licenses. Although priced at $19.99 per license, you can expect to invest, at minimum, about $199.90 per month. There is also a Business Plus plan that is $25 per user, per month, which is similar to the Business plan, but adds unlimited regional phone, translated captions and workspace reservations. It also adds 5GB of cloud storage space.
Zoom has a large enterprise-ready plan available for businesses with 1,000 or more employees that require more than what’s available at the lower tiers. It also requires a minimum purchase of 50 licenses.
The Enterprise tier is custom-priced and you must contact Zoom’s sales department directly to move forward with a purchase. Enterprise is the only premium tier where annual agreements are mandatory; you can pay the total cost upfront or agree to pay month to month.
This highest tier has everything from the previous plans, with the addition of features like:
- Ability to host up to 500 participants
- Customer success management
- Executive business reviews
- Webinar 500
- Bundled discounts
Enterprise is without a doubt the priciest option available. However, features like unlimited cloud storage make the package enticing for larger teams.
There are a few extra service options Zoom left out of its premium plans.
Add-On | Details | Price |
---|---|---|
When integrated with your desired tier plan, these add-ons will undoubtedly boost your service. However, Zoom’s decision to create separate charges for options that could come standard with rival tier plans could work against it.
- Free plan. Zoom makes many of its most useful web conferencing features, such as screen sharing and whiteboard tools, available to use without a premium subscription.
- Easy to use. Zoom is very easy to install and use, either on desktop or via mobile phone. It’s even possible to join Zoom as a participant without creating a new account.
- Dozens of integrations. Zoom connects seamlessly with many crucial software tools vital to modern businesses, making it easier than ever for organizations to collaborate remotely to complete important projects.

Although Zoom has a lot going for it overall, there are a few things you’ll want to know ahead of time before signing up for a paid plan. First, it’s crucial to take note of how many licenses you’ll need and the tier plan for which you’ll qualify. For example, if you know your company will need 15 licenses, you’ll need the Business plan since that’s too many licenses for the Pro tier.
One particular sticking point with Zoom is how it treats technical support. If you use the Basic plan, the best option you have is the Help Center. As a Pro tier customer, you would be able to submit a ticket and get help via chat, but if you want to speak with an actual person, you must upgrade to Business or higher.
Although monthly contracts are available at the Business tier, it’s at this point that Zoom makes multi-year contracts available. The annual agreement becomes mandatory for the Enterprise-level customer. It may be possible in some cases to edit your plan, switching from annual to monthly or the reverse. If you want to cancel your subscription, you’ll need to do so before the next billing cycle. Otherwise, you will get charged automatically.
Security Concerns
As quickly as Zoom gained popularity, it also gained a fair bit of backlash over its privacy and security issues. As such, while Zoom remains a top-rated web conferencing platform, its spotty security history might make some reluctant to create an account.
During our research, we found that some customers complained about the inability to remove comments created by online trolls who invade meeting spaces in a practice known as “Zoombombing.” Zoom has managed to address most issues within the past year. One way to avoid unwanted guests in your meetings is to have all participants join using a password.

Compare Alternatives

- Zoom vs Microsoft Teams
- Zoom vs Skype
- Zoom vs Webex
Zoom’s services are competitively priced, and if you’re not looking to spend money, it provides free web conferencing tools. As such, Zoom is great for small and large businesses alike. That said, if you run a large company and you aren’t impressed with mandatory contracts, or you don’t like the idea of having to upgrade for reliable tech support, then Zoom might not be an ideal fit for you.
Do you need a Zoom account to join a meeting?
No. While the person who starts a meeting and invites you will need an account, participants aren’t required to sign up for Zoom.
How do I set up video conferencing with Zoom?
To join a video conference using Zoom, you need a webcam, microphone and speakers. While you don’t need a Zoom account, you do need to download its software before joining or hosting a call. To set up a conference room in your office, contact a rep with the video conference service.
Is Zoom free to download?
Zoom is free for download and use on desktop computers and other internet-ready devices through the “Basic” subscription plan.
Is Zoom safe to use?
Although Zoom experienced various security and privacy issues during 2020, the brand has since stepped up protection to make the platform safer to use. If you’re worried about online trolls invading meetings, it may be a good idea to have participants join using a password.
What’s a good alternative to Zoom?
Although we highly recommend Zoom, if you’re looking for a suitable alternative, you may consider Google Meet or TeamViewer Meeting. Read our Google Meet vs. Zoom review to learn more.
What kind of peripherals should I have to join a conference call?
In addition to a quality conference calling service, you need to have a high-resolution webcam―either one that comes with your device, such as a laptop or webcam that you can connect to your computer via a USB connection―an external microphone, external speaker or speakers or a quality headset with a built-in microphone and access to the internet, whether from your home or place of business or at a location that offers Wi-Fi access.

- How To Use Zoom
Zoom pricing plans comparison
In the first two months of 2020, Zoom added 2.22 million monthly active users , and one of them might have been you. As the COVID-19 pandemic forced companies to cancel events and set up employees for remote work, Zoom became a popular way for coworkers and friends to stay in touch while observing social distancing protocols.
Setting up a Zoom account is fairly easy, and Zoom offers a free plan that suits a lot of people’s needs, particularly those using it for personal reasons. However, for those who need more time or participants — or want to add customizations to their Zoom meetings — there are paid plans that offer these options.
![zoom business plan minimum of 10 hosts Zoom Pricing Plans](https://www.jotform.com/blog/wp-content/uploads/2024/04/image-zoom-pricing-plans.png)
The free version of Zoom — known as Zoom Basic — is a great way to test the waters if you’re new to the video conferencing platform . It lets you host meetings as long as 40 minutes for up to 100 participants using HD video and HD voice.
In your Zoom meetings, you’re able to use virtual backgrounds to camouflage your surroundings. You can also share your screen, present to the attendees, and use whiteboarding features. Plus, you can set up a personal meeting ID and a password to protect your meetings from uninvited guests.
In addition, the Basic plan allows you to create breakout rooms. These breakout rooms can be useful if a couple of team members need to have a quick discussion outside of the meeting. The Basic plan also includes the capability to record meetings.
Just so you know
Jotform lets you quickly collect payments and Zoom webinar registrations directly through online forms! Sign up for free today .
Geared toward small teams, Zoom Pro picks up where Zoom Basic leaves off. Your meeting can last 30 hours, although you’re still limited to 100 participants. But you also can manage users and grant administrative privileges, as well as generate reports — like tracking how many meetings you’re holding and how long they last.
Administrative and owner privileges, which you can set with a Pro plan, let you manage the account and turn features — like recording, encryption, and chat — on and off as needed. You can also assign someone to schedule meetings for you.
Zoom Pro includes 5 GB of MP4 or M4A cloud recording, which can be useful if you want to share the recording with people who couldn’t make it to your meeting.
Pricing for Zoom Pro starts at $15.99 per month, per license, with a maximum of nine licenses.
Zoom Business
For small and medium businesses, Zoom offers a plan that includes all Pro and Basic features as well as a few more. Zoom Business lets you host up to 300 participants in your meetings and allows you to customize your meeting rooms further. For example, you can use a vanity URL and add your company branding to your portals.
Additionally, Zoom Business gives you the option to deploy Zoom on premises in your own private cloud service. It also provides cloud recording transcripts, integration with learning platforms, and dedicated phone support.
Zoom Business starts at $21.99 per month, per license, with a minimum of 10 and maximum of 99 licenses.
Zoom Business Plus
Zoom provides a package that encompasses all the features found in the Business version, along with a few additional ones with the Business Plus plan. This plan incorporates 10 GB of cloud recording storage in either MP4 or M4A format, along with the further features like translated captions, advanced phone features and workspace reservation.
Zoom Business Plus commences at a price of $26.99 per month, per license, with a minimum requirement of 10 and maximum of 99 licenses.
Zoom Enterprise
Large enterprises can use Zoom for video conferencing, too. The Zoom Enterprise plan is designed for big companies, and meeting rooms can hold up to 500 participants. Enterprise plan subscribers can also leverage unlimited cloud storage and a dedicated customer service manager.
Zoom Enterprise includes a feature called Executive Business Reviews, which lets you analyze adoption of the service and track ROI as well as get insight into the product roadmap for Zoom.
Pricing is custom and you can contact sales for information. Also, you can have a maximum of 250 licenses with the Zoom Enterprise plan.
Zoom for Education
Zoom offers a product just for educational institutions — Zoom for Education. The plans start allowing for up to 300 participants in a meeting. Hosts can have unlimited meetings. Features include content sharing, digital whiteboarding, integration with learning management systems, and session recording and transcription.
Meetings plan of Zoom for Education is billed on an annual basis at $90 per account, year. Webinar plan, for massive events, which allow up to 1000 attendees cost $3400 per user, per year. Phone and Rooms plan cost $180 per year, per user and $499 per year, per user respectively. The Large Meetings add-on starts at $600 per year.
Zoom for Healthcare
Healthcare professionals can use Zoom as well. Zoom for Healthcare provides video conferencing services that comply with the Health Insurance Portability and Accountability Act (HIPAA). This plan allows for 10 hosts and comes with a signed business associate agreement (BAA), which protects healthcare professionals if there is a data breach on Zoom’s end.
Zoom for Healthcare includes collaboration features to annotate records when meeting with other doctors as well as the ability to launch a conference directly from the Epic electronic health records (EHR) system . Each session can be recorded, but clinical applications like patient visits won’t be stored in the cloud.
Zoom for Healthcare plans start at $15,99 per month for up to nine licenses.
Zoom Events
If you’re using Zoom exclusively for events, you may want to look into using Zoom Events, which lets you set up event hubs, branded pages that contain all the details of your event.
You can make your events public or private and set up everything from registration to ticketing right from the hub. The top-notch analytics features allow for real-time data collection, so you can alter your events on the fly.
Zoom Events gives your guests the option to network with other attendees or sponsors. There’s a virtual event lobby and expo floor where you can create a more natural virtual environment for guests to mingle and exchange information.
Zoom Events also creates a more natural “backstage” for event presenters, where they can virtually meet with a production crew and discuss presentations before and after going live — and make sure they look ready for the camera.
There are tons of resources on the site that make Zoom Events easy to navigate, and you’ll want to use everything this plan has to offer. Pricing for Zoom Events is $149 per month or $1490 per year for 100 attendees.
![zoom business plan minimum of 10 hosts Zoom Webinars, Sessions and Events Pricing](https://www.jotform.com/blog/wp-content/uploads/2024/04/zoom-events-pricing.png)
Zoom Webinars
If you’re planning a presentation with a large audience, Zoom Webinars creates a more personal experience between your presenter and guests.
You can host up to 100,000 people and stream your event on popular platforms like YouTube Live and Facebook Live. With useful features like a background noise suppression tool, virtual backgrounds, and studio effects, you’ll have more control over the look and sound of your presentation.
While Zoom Webinar definitely excels during your web event, it also has some great post-webinar tools. You can customize what you’d like your landing page to look like after the webinar and include things like surveys and polls to collect essential feedback. You can also use Zoom Webinar’s analytics tools to track attendance, measure engagement, and analyze any survey data you collect.
You can purchase a Zoom Webinar plan based on how many attendees you intend to host. Pricing ranges from $79 per month or $690 annually for a 500-attendee plan to $990 per month or $9,900 annually if you’re hosting 3000 attendees. You can contact sales to find out the pricing for hosting more than 10,000 attendees. There are several tiers in between, but keep in mind that the attendee number is based on view-only guests. The cap on interactive panelists for your event is 100.
![zoom business plan minimum of 10 hosts Pricing for Zoom Rooms](https://www.jotform.com/blog/wp-content/uploads/2024/04/image-zoom-rooms.png)
Zoom Rooms is a great solution for hybrid workplaces or schools that want to create a seamless meeting experience. It creates the closest thing to an actual conference room, including a virtual receptionist you can use while in kiosk mode — a great option for office or hotel lobbies.
If you’re using Zoom Rooms in the more traditional office setting, you can take advantage of features for reserving workspaces, checking how many people are in a room, and easily monitoring what meetings are taking place throughout the day.
One Zoom Rooms feature that’s quite impressive is showing multiple people who are using one camera in a single conference room in multiple screens. This is a great way to make sure everyone can see each person in the conference room and promote a more collaborative meeting.
Pricing for Zoom Rooms is $499 per year, per room. If you need to purchase hardware, Zoom can add that for a monthly fee — just reach out directly for pricing.
Zoom Contact Center
Zoom Contact Center is Zoom for businesses that need to connect with customers. Think of it as a command center that includes all the major channels for customer contact — including phone, SMS, and webchat.
Plus, in typical Zoom fashion, the whole platform is optimized for video. If your business is already using Zoom for communication within the company, adding Zoom Contact Center will cut back on redundant communication platforms.
Management can take advantage of the “agent skills” feature, which lets you categorize your service agents based on their specialties. This ensures your customers can connect to the proper agent right away, and it creates an efficient work queue.
Contact Center is also great at measuring performance data — so you can get real-time updates on how your team is handling calls.
You can get pricing info directly from a Zoom sales rep.
Optional add-on plans
In addition to the plans above, Zoom offers some optional add-ons for licensed users that might fit your specific video conferencing needs.
Cloud Storage
If you think you need extra storage for the important video calls and webinars you’ll be hosting, you might consider adding up to 5 TB of storage a month. You can download, store, and stream your files from the Zoom Cloud starting at $10 per month.
Audio Conferencing
If you need call out, global toll-free, and local dial-in numbers for premium countries, Zoom’s Audio Conferencing add-on will take you beyond the limits of local toll numbers that are included with all paid plans. Pricing starts at $100 per month, based on rates specific to the country .
Premiere Support
This add-on will get you direct support from engineers who are ready to diagnose problems via chat, phone, or email. The site doesn’t specifically mention pricing, but it suggests reaching out to a specialist via the online form .
Premiere Developer Support
Looking for the same premiere support but for developer-specific resources? This add-on will be worth the additional cost if you need more than one support plan. The pricing and eligibility gets a little complicated, but you can check it out directly on Zoom’s website .
Large Meetings
If you need to expand your meeting room to either 500 or 1000 interactive participants, consider this add-on starting at $50 per month.
Zoom Whiteboard
Collaborate with your team in real time via a digital whiteboard with sticky notes, drawing tools, and more. While this feature is included with all accounts, if you want unlimited whiteboards, you can add it to a Zoom One Basic or Pro plans for an additional $2.49 per month.
When you’re ready to move from a free account to a paid account, Zoom has an array of options. The different packages are clearly defined and offer the flexibility to make Zoom work for your business regardless of its size.

Zoom - Single-Sign on for entire org with only 10 hosts on Business Plan?
I've already Googled, but did not find an answer. Also contacted ZOOM Support, but no answer yet (I guess they are a bit overwhelmed these days). My favorite Reddit community will know the answer for sure.
Context: The Zoom Business Plan requires a minimum of 10 hosts and includes Single sign-on.
Question: When I buy 10 Business Plan licenses, will I be able to implement single sign-on for my entire org (100 users - 90 with basic accounts) or only for the 10 users that have a Business Plan assigned?
UPDATE: Awesome, thanks for the responses, guys! I know the community would come through! I figured this would be the behaviour, but glad I got it confirmed before forking over for 10 hosts. Thanks again!

On the basic plan, what happens if the meeting goes over the 40 minute limit?
Five minutes before the meeting ends, a warning is displayed. After 40 minutes, the meeting just closed itself automatically. You have to open another meeting to continue.

Find out the account plan (Free, Business, Pro, etc)
Description Is there a way of determining the plan level of an account that has been connected using OAuth?
In particular, I am trying to determine the maximum amount of concurrent meetings (described in a zoom article named “Hosting multiple meetings simultaneously”).
I have reviewed the accountSettings and User endpoints, but have not come away with a clear answer to my question from looking at this unfortunately.
Which App Type (OAuth / Chatbot / JWT / Webhook)? OAuth
Which Endpoint/s? User Setttings / other?
Hi @hurast , to see plan info for a user the endpoint you mentioned is correct:
Licensed users on Business, Education, and Enterprise accounts can host up to 2 meetings at the same time. Both meetings need to be started by the original meeting host or by an alternative host . The host can leave the meeting and pass host privileges to another user if needed.
Note : While these users can have 2 meetings active at the same time, this is typically achieved by the meetings being started and run on separate devices, as by default users are unable to join or start multiple meetings simultaneously on the desktop client.
The endpoint linked shares is the user is business, enterprise etc. licensing to determine if they can have 2 meetings active at the same time.

A basic user within a Business plan or above inherits the account's default meeting capacity, such as a Business account's default meeting capacity of 300. The meeting participant limit can be increased by purchasing a license (for free/basic accounts), upgrading the current plan, or purchasing a large meeting add-on.
Hey, @dante555. @Ohkawa's answer is technically correct, but I'd caution you -- if you're a lone individual on your account, to get to Business License status, you'd have to purchase a total of 10 licenses, the minimum required for a Business Account.. You might consider purchasing just ONE more license and assign it to another email address for yourself.
You are correct that a Pro account can have up to 9 total licenses, but that is not the same limit for users in general. You can have more than 10 users on the account, but only 9 can be assigned licenses while the rest are Basic users.
