First Paragraph The  first paragraph  of your letter should include information on why you are writing. Mention the job you are applying for and where you found the job listing. Include the name of a mutual contact, if you have one. You might conclude by briefly and concisely saying why you think you are an ideal candidate for the job.

Middle Paragraph(s) The next section of your application letter should describe what you have to offer the employer.

It can be a single paragraph, or you can break it up into a couple of paragraphs. If the section gets lengthy, you may use bullet points to break up the text. Remember, you are interpreting your resume, not repeating it.

Mention specifically how  your qualifications match the job  you are applying for. In this portion of the letter, make your case for your candidacy.

It can be helpful to spend some time researching the company —this knowledge and insight helps you make an informed and persuasive argument for your candidacy.

Use specific examples whenever possible. For example, if you say that you have lots of experience working successfully on team projects, provide an example of a time you worked in a group and achieved success.

Final Paragraph Conclude your application letter by thanking the employer for considering you for the position. Include information on how you will follow up.

How to Write an Application Letter

Application letters are typically written to accompany school or job applications. The purpose of the letter is to introduce yourself to the decision committee, and to outline your qualifications in a specific way. It can be the only time other than an interview that you have a chance to really stand out in an application, so it's important to get it right. You can learn what to include in your letter, how to style it, and how to format it to give yourself the best chance.

Writing a Job Application

Step 1 Say why you're writing and what you're applying for in the first sentences.

  • A good example would be: "I'm writing to apply for the Chimney Sweep position advertised in Rolling Stone. I think my experience in the heating industry makes me uniquely qualified for this position. Please find my application materials and a brief description of my qualifications below."
  • Don't write your name until the signature. It'll be in the header and in the sign-off, so there's no reason to put it in the body of the letter itself.

Step 2 Explain why you are the best candidate.

  • Be specific. Who are you? Where do you come from? What's your story? These details are important. HR screeners read hundreds of these.
  • Describe your ambitions. Where do you want to go? How will this opportunity help you get there?
  • What skills and experiences make you the right fit? Be as specific as possible and avoid vague language. It's better to describe a time you solved a specific problem at your last job than to just write, "I'm a good problem solver at work."

Step 3 Keep the tone professional.

  • Tailor it to the business. If you're applying to work at a record store, you need to talk about music. If you're applying to work at a tech company that writes, "Tell us something totally rad about yourself!" it's probably ok to be a little more informal.

Step 4 Explain how both parties will benefit from your selection.

  • Don't over-promise. Telling someone that you can guarantee that you'll be able to turn around their sales figures in six months or less is a good way to get fired in six months.

Step 5 Do some research.

  • Any kind of job requires this type of research. If you apply to a restaurant, you need to be familiar with the menu and the kind of customers the restaurant attracts. Consider eating there a few times before you apply.
  • Don't show you're familiar by criticizing a business and telling them what you can do better. Not the time to offer a harsh criticism of a business plan that you don't really know anything about.

Writing a School Application

Step 1 Address the prompt.

  • Common prompts include things like, "Outline your qualifications for this position" or "In writing, explain how this position would affect your career goals." Sometimes, the prompt will be as short as, "Tell us something interesting about yourself."
  • If there is no prompt, but you still feel the need to introduce your application with a letter, it's usually best to keep it as short as possible. Explain what you're applying for, why you're applying, and thank the contact for their consideration. That's it.

Step 2 Tell your story.

  • Often, college prompts will ask you to describe a time you struggled, or a time you overcame some obstacle. Write about something unique, a time that you actually failed and dealt with the consequences.
  • The board will get thousands–literally, thousands–of letters about someone's first mission trip, and letters about the time someone's sports team was beaten, then overcame the odds, and won again. Avoid these topics.

Step 3 Write about your future.

  • Be specific. If you're writing to a college board, don't say, "I want to go to this college because I need a degree." That's obvious. What do you want to do with it? Why? If you're applying to a business, don't say, "I just need a job." That's obvious. Why this specific job?

Step 4 Don't include stuff that's also on your resume.

  • If you're applying to schools, what do you like about the school? What faculty are you interested in? Why this school, instead of another?

Formatting Application Letters

Step 1 Keep it short.

  • If you don't get a word-count guideline, just focus on making one or two good points about yourself, and keeping it at that. No need to drone on four several pages.

Step 2 Only address the letter if you have someone to address it to.

  • Instead of a salutation, write, "Letter of Application" at the top left corner of the page, or put it in the header on the left side at the top.
  • If you do have a contact, address it to them, making sure the name is spelled correctly. Then space down and start the body of the letter. [10] X Research source

Step 3 Use a standard font.

  • Sometimes, it's appropriate to type your name, then print out the letter and sign it in pen. That can be a nice touch.

Step 5 Put your contact information in the header.

  • Mailing address
  • Telephone and/or fax number

What is a Cover Letter? 

A cover letter is a one-page document that you submit as part of your job application, alongside your resume . 

Its purpose is to introduce you and briefly summarize your professional background. On average, your cover letter should be from 250 to 400 words long .

A good cover letter can give the hiring manager more insight into what makes you a good candidate and help them make up their mind about whether they should invite you for an interview. A bad cover letter, though, will get ignored (at best) and lose you the job (at worst).

So, to make sure this doesn’t happen, it’s essential to know how to write a convincing cover letter.

The first thing to remember is that a cover letter is a supplement to your resume, not a replacement. Meaning, you shouldn’t just repeat whatever is mentioned in your resume and call it a day. 

Optimally, you should use your cover letter to shed more light on your skills and qualifications, as well as explain anything you didn’t have space for in your resume (e.g. a career gap or why you’re changing careers).

If you’re writing a cover letter for the first time, though, putting all this together might seem pretty tough. 

Fortunately, you can follow our tried-and-tested format to make the experience much easier:

  • Header - Input your contact information.
  • Greeting the hiring manager - Open the cover letter with a “Dear Sir or Madam,” or use the hiring manager’s name if you know what that is.
  • Opening paragraph - Grab the hiring manager’s attention by getting straight to the point. Mention what your professional experiences are, and what role you’re applying for.
  • The second paragraph - Explain why you’re the perfect candidate for the job. Mention your top 2-3 achievements, your top skills, why you want to work in that specific industry, and whatever else is relevant.
  • The third paragraph - End your cover letter with a call to action. E.g. “I would love to meet personally and discuss how I can help Company X.”
  • Formal closing - Something like this: “Thank you for your consideration. Best, John Doe.”

9 Tips to Write a Cover Letter (the Right Way)

Now that we've covered the basics, let's talk about cover letter tips . Below, we'll give you all the knowledge you need to take your cover letter from "OK" to "great."

#1. Pick the right template

A good cover letter is all about leaving the right first impression.

#2. Add your contact details on the header

The best way to start your cover letter is through a header. 

Here’s what you want to include there:

  • Phone Number
  • Name of the hiring manager / their professional title
  • Name of the company you’re applying to

Optionally, you can also include the following:

  • Social Media Profiles - Any type of profile that’s relevant to your field. Social Profiles on websites like LinkedIn, GitHub (for developers), Medium (for writers), etc.
  • Personal Website - If you have a personal website that somehow adds value to your application, you can mention it. Let’s say you’re a professional writer. In that case, you’d want to link to your content portfolio site or blog.

#3. Greet the hiring manager the right way

Once you’ve listed all your relevant contact information, it’s time to address the hiring manager reading your cover letter. 

A good practice here is to find the hiring manager’s name and address them directly instead of using the traditional “dear sir or madam.” This shows that you’re really invested in the company and that you took your time to do some research about the job.

So, how can you find out the hiring manager’s name?

One way to do this is by looking up the head of the company’s relevant department on LinkedIn. Let’s say you’re applying for the position of Communication Specialist at Novoresume. The hiring manager is probably the Head of Communications or the Chief Communications Office.

Or let’s say you’re applying for the position of server at a restaurant. In that case, you’d be looking to find out who the restaurant manager is.

If this doesn’t work, you can also check out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

If you still can’t find out the hiring manager’s name, here are several other greetings you can use:

  • Dear [Department] Hiring Manager
  • Dear Hiring Manager
  • To whom it may concern
  • Dear [Department] Team

#4. Create an attention-grabbing introduction

Recruiters get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The problem with most cover letter opening paragraphs, though, is that they’re usually extremely generic, often looking something like this: 

Hey, my name is Jonathan and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a sales manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

As you can probably tell, this opening paragraph doesn’t tell the hiring manager anything other than that you’ve worked the job before - and that’s not really helpful in setting you apart from other candidates. 

What you want to do, instead, is start off with 2-3 of your top achievements to really grab the reader’s attention. Preferably, the achievements should be as relevant as possible to the position. 

For example:

My name’s Michael and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. I’ve worked with Company X, a fin-tech company, for 3+ years. As a Sales Representative, I generated an average of $30,000+ in sales per month (beating the KPIs by around 40%). I believe that my previous industry experience, as well as my excellence in sales, makes me the right candidate for the role of X at Company Y.

#5. Show you’re the perfect person for the job

One great thing about cover letters is that they allow you to expand more on the top achievements from your resume and really show the hiring manager that you’re the right person for the job. 

A good way to do that is to first read the job ad and really understand what skills/experiences are required, and then to ensure that your cover letter touches upon the said skills or experiences.

In my previous role as a Facebook Marketing Expert at XYZ Inc. I handled customer acquisition through ads, managing a monthly Facebook ad budget of $20,000+. As the sole digital marketer at the company, I managed the ad creation and management process end-to-end. This means I created the ad copy and images, as well as picked the targeting, ran optimization trials, and so on.

#6. Explain why you’re a great company fit

The HR manager doesn’t only look at whether you’ll be good at the job or not. They’re looking for someone that’s also a good fit for the company culture.

To convince the hiring manager that you’re a great company fit, do some research on the company and find out what it is you like about them, or about working there. You want to know things like:

  • What’s the company's product or service? Have you used it?
  • What’s the culture like? Will someone micro-manage your work, or will you have autonomy on how you get things done?

Then, turn your top reasons for liking to work there into text and add them to your cover letter! 

#7. Wrap up with a call to action

To make the end of your cover letter as memorable as possible, you want to:

  • Wrap up any points you couldn't in the previous paragraphs. Mention anything you’ve left out that you think could help the hiring manager make up your mind.
  • Thank the hiring manager for their time. After all, it never hurts to be polite. 
  • Finish the cover letter with a call to action. A call to action is a great way to make your cover letter ending as memorable as possible.

Once you’re done with the final paragraph, all you have to do is write down a formal “goodbye” and you’re good to go.

Update on Saskatchewan's International Post-Secondary Student Application Process

Province Receives Allocation of Over 15,000 Study Permit Applications and is One of the First in the Country to Launch an Automated Provincial Attestation Letter Processing System

The Government of Saskatchewan is pleased to provide an update on the province's response to the federal government's cap on international students approved to study in Canada. 

As of April 1, Saskatchewan's 2024 allocation allows for 15,054 undergraduate or college-level study permit applications, which is an increase from the original allocation of 12,000 assigned by Immigration, Refugees and Citizenship Canada (IRCC) in February. It takes into account the province's historical acceptance rate and could result in a total of 7,200 study permits for the year. 

“In Saskatchewan we have been responsibly building our international student program and are committed to providing the supports international students need to succeed at our post-secondary institutions,” Advanced Education Minister Gordon Wyant said. "We appreciate IRCC increasing its allocation for Saskatchewan, as international students play a key role in maintaining economic growth and are a critical component to helping meet our labour market needs."

Provincial attestation letters (PALs) are also a new requirement by IRCC, which mandates that most new post-secondary international students at the college or undergraduate level must now submit a PAL with a corresponding letter of acceptance from a post-secondary institution when applying for an international study permit. Saskatchewan is one of the first provinces to establish an automated system to facilitate study permit applications from international students for 2024. 

To date, the Ministry of Advanced Education has successfully processed over 1,200 PALs from 11 different post-secondary institutions. The ministry successfully launched an automated PAL system quickly through the use of MyCreds, a national information technology platform for official academic documents that already partners with provincial education and post-secondary sectors. 

The ministry will continue to work closely with sector partners to implement the changes to the international study program. It has also temporarily paused accepting any new applications for designation in the Saskatchewan International Student Program. Post-secondary institutions interested in becoming designated to host international students for programs longer than six months will be able to apply for designation once again starting in January 2026.

Palestinians seek full UN membership again, but US is almost certain to block it for a second time

UNITED NATIONS (AP) — Supporters of the Palestinians’ request for full membership in the United Nations asked the U.N. Security Council on Tuesday to revive their application for admission submitted in 2011. But the United States is again almost certain to block it.

The supporters’ letter to the council president included the names of 140 countries that have recognized a Palestinian state, including members of the 22-nation Arab Group at the United Nations, the 57-nation Organization of Islamic Cooperation, and the 120-member Nonaligned Movement.

The Palestinians are making a fresh bid for U.N. membership as the war between Israel and Hamas that began on Oct. 7 nears its sixth month, and the unresolved decades-old Palestinian-Israeli conflict remains in the spotlight after years on the back burner.

Palestinian President Mahmoud Abbas delivered the Palestinian Authority’s application to become the 194th member of the United Nations to then Secretary-General Ban Ki-moon on Sept. 23, 2011, before addressing world leaders at the General Assembly.

That bid failed because the Palestinians failed to get the required support of nine of the Security Council’s 15 members. Even if they did, the United States, Israel’s closest ally, had promised to veto any council resolution endorsing Palestinian membership.

The United States has repeatedly said full U.N. membership should follow a negotiated peace agreement between Israel and the Palestinians.

“Our position has not changed,” U.S. deputy ambassador Robert Wood told several reporters Tuesday, reiterating that the issue of full Palestinian membership in the U.N. is one of the final status issues to be decided in bilateral talks between the Palestinians and Israel on a peace agreement.

After the Palestinians’ initial bid for full U.N. membership was rejected, they went to the 193-member General Assembly, where there are no vetoes, and by more than a two-thirds majority succeeded in having their status raised from a U.N. observer to a non-member observer state in November 2012.

That change opened the door for the Palestinian territories to join U.N. and other international organizations, including the International Criminal Court.

Malta’s U.N. Ambassador Vanessa Frazier, the current Security Council president, told reporters Monday that the council’s standing committee for new members, which includes all 15 council nations, is expected to meet behind closed doors to consider the application.

The committee would then decide whether to recommend membership to the General Assembly.

Wood’s comments Tuesday on the unchanged U.S. position appear to doom Palestine’s full U.N. membership again.

Malta has invited ministers to the monthly Security Council meeting on April 18 where the ongoing Israeli-Hamas war in Gaza and the council’s call for a cease-fire during the Muslim holy month of Ramadan, which ends April 9 and was rejected by both parties, is expected to take center stage.

But the issue of Palestine’s full membership in the United Nations is certain to be raised as well.

Understanding Your FEMA Letter

Survivors who applied for assistance from FEMA for the January 9-13, 2024, severe storms and flooding, will receive a determination letter from FEMA explaining the status of their application. If the applicant is found eligible for assistance, the letter will explain the amount of assistance FEMA approved and information on the appropriate use of disaster assistance funds.   

If the applicant is found ineligible, please read the letter carefully and entirely as it will explain the reasons for the ineligibility and what may be needed to submit with an appeal letter for reconsideration.  In some circumstances, the survivor may only need to submit additional information or supporting documentation for FEMA to continue processing the application.

Examples of missing documentation may include:

  • Proof of insurance coverage
  • Settlement of insurance claims or denial letter from insurance provider
  • Proof of identity
  • Proof of occupancy 
  • Proof of ownership
  • Proof that the damaged property was the applicant’s primary residence at the time of the disaster.

Questions about your letter can be answered by calling the disaster assistance helpline at 800-621-3362. You may also visit your nearest Disaster Recovery Center (DRC). Appealing FEMA’s Decision

Survivors may submit an appeal letter and documents supporting their claim, such as a contractor’s estimate for home repairs, or missing documents as described in the determination letter for additional consideration.

FEMA cannot duplicate assistance provided by another source, such as insurance settlements. Survivors who are underinsured may receive additional assistance for unmet needs after insurance claims have been settled.

The appeal must be in writing. In a signed and dated letter, explain the reason(s) for the appeal. It should include: 

  • Applicant’s full name 
  • Disaster number (DR-4764 for the severe storm and flooding from Jan. 9-13, 2024.)
  • Address of the pre-disaster primary residence 
  • Applicant’s current phone number and address 
  • The FEMA application number on all documents

If you choose to have a third party submit an appeal letter on your behalf, the appeal letter must be signed by the third party. Additionally, please include a statement signed by you authorizing the third party to appeal on your behalf.  

Appeal letters must be postmarked within 60 days of the date of the determination letter. Letters and supporting documents may be submitted to FEMA by fax, mail or via a FEMA online account.
